Job Description
Key Responsibilities
Executive & Administrative Support
- Manage highly complex and dynamic executive calendars across multiple time zones, ensuring optimal prioritization of business-critical activities.
- Coordinate and schedule internal and external meetings, leadership forums, town halls, client engagements, and cross-functional discussions.
- Anticipate scheduling conflicts and proactively recommend solutions to maximize executive effectiveness.
- Screen, prioritize, and manage correspondence, meeting requests, and inquiries on behalf of executives.
- Prepare and coordinate briefing materials, agendas, presentations, reports, and supporting documentation for executive meetings.
Leadership Operations & Coordination
- Support day-to-day operations of the Technology Leadership team across India, Hong Kong, and the broader APAC region.
- Track key action items, leadership commitments, and follow-ups arising from executive meetings and business reviews.
- Coordinate leadership team meetings, off-sites, planning sessions, and strategic workshops.
- Assist with monitoring organizational priorities, ensuring timely completion of deliverables and stakeholder communications.
- Facilitate cross-functional collaboration among Technology, Business, Operations, Risk, Compliance, Finance, HR, and Vendor Management teams.
Communication & Stakeholder Management
- Draft, review, and manage executive communications including emails, announcements, presentations, town hall materials, and leadership updates.
- Serve as a primary point of contact for senior leaders, business stakeholders, external partners, and regional teams.
- Build strong relationships across executive offices globally to facilitate efficient coordination and decision-making.
- Ensure professional handling of sensitive and confidential information.
Travel & Event Management
- Coordinate complex domestic and international travel, including flights, accommodations, visas, transportation, and detailed itineraries.
- Manage travel logistics across India, Hong Kong, and other APAC locations.
- Coordinate leadership visits, executive meetings, conferences, and employee engagement events.
- Support expense management, reconciliation, and submission in accordance with company policies.
Meeting & Governance Support
- Organize leadership governance meetings and executive review sessions.
- Develop agendas and meeting materials and ensure participants are appropriately prepared.
- Capture key decisions, actions, and follow-up items where required.
- Maintain records, documentation, and organizational information repositories.
Strategic Support
- Assist executives in managing strategic initiatives and organizational priorities.
- Support preparation of leadership presentations, business reviews, operating reviews, and organizational updates.
- Conduct research and gather information needed to support executive decision-making.
- Identify opportunities to improve administrative processes, workplace productivity, and executive support practices.
Required Qualifications
- Bachelor's degree or equivalent experience.
- 8+ years of experience supporting senior executives, preferably within Technology, Financial Services, Asset Management, or a global corporate environment.
- Proven experience supporting C-suite leaders, CIOs, CTOs, Engineering Leaders, or equivalent senior executives.
- Strong understanding of global business operations and executive office management.
- Demonstrated ability to handle confidential information with discretion and professionalism.
