Our client is a US-based roofing and exteriors group that operates a family of regional contracting brands across several states. Every one of those brands needs current licences and current certificates of insurance to work legally in the markets it serves. This role is the person who makes sure that is always true.
The Licensing & Compliance Coordinator provides administrative and licensing support to the company and its brands, and is accountable for renewing and maintaining corporate, contractor and local-level licensing in good standing. You will prepare and file licence applications, apply for new licences at state and local level, send and upload Certificates of Insurance to licensing offices and localities, support the brands on the COI platform, answer licensing questions from company personnel, and keep complete and orderly records. You will report directly to the VP of Compliance.
This is precise, deadline-driven work carried out from a remote location on a US Eastern schedule, with a high degree of independence. The work is not difficult to understand. It is difficult to do perfectly, every time, without being chased.
Key Responsibilities
Licensing and Renewals
- Provide professional licensing support to the company and its subsidiaries, and make sure every required licence is obtained and kept in good standing.
- Own the completion of all licensing requirements for the corporate entity and every brand, on time, including preparing and filing licence applications and renewals.
- Track what is due, where it is due, and what each renewal needs before it can be filed, so nothing reaches its expiry date unfinished.
- Watch the dependencies behind a renewal — insurance certificates at the required limits, workers compensation proof, bonds, continuing education, entity good standing, fees — and start the long-lead items early.
New Applications at State and Local Level
- Apply for new licences as needed at state and local level, including preparing complete application packets.
- Work out what a new jurisdiction actually requires before the application goes in, and flag anything the company does not yet have in place.
- Keep application packets clean and consistent: correct legal entity name, correct trade name, correct signatory, correct supporting documents.
Certificates of Insurance (COIs)
- Send and upload COIs to licensing offices, localities and brand markets, and confirm they were received and accepted.
- Check a certificate before it goes out: correct named insured, coverage types and limits, policy dates, correct certificate holder, and any wording the recipient requires.
- Assist the brands companywide with the COI platform, including answering their questions and helping them find or request what they need.
- Keep certificates current so nothing on file with an agency or a locality quietly expires.
Internal Support and Subject Knowledge
- Answer questions from company personnel about licensing requirements, clearly and in writing, with the source behind the answer.
- Maintain up-to-date knowledge of relevant corporate, state and federal licensing requirements as rules and fees change.
- Research unfamiliar jurisdictions from primary sources and turn what you find into a usable answer for the team.
Records and Administration
- Retain accurate, organised, current records of all licensing documents so any licence, certificate or confirmation can be produced quickly.
- Provide administrative support to the VP of Compliance.
Requirements
- Knowledge of contractor licensing and permitting processes.
- Knowledge of Certificate of Insurance (COI) processes and procedures.
- Excellent written and verbal communication in English — you will write to agencies, brand managers and leadership every day.
- Strong computer proficiency, including comfort working across web portals, PDFs and spreadsheets.
- Superb attention to detail. A high degree of accuracy is required.
- Ability to follow directions and complete detailed forms accurately.
- Strong analytical and detail-oriented aptitude.
- Experience working in a fast-paced environment with changing priorities and goals.
- Organised, detailed and self-motivated.
- Ability to multi-task and problem solve.
- Works well in a team environment as well as independently.
- Demonstrated ability to adapt to new information, research for information, and apply what you learn.
Preferred Qualifications
- A minimum of 2 years of prior experience in license management, regulatory compliance, or a related field.
- Hands-on experience preparing or filing applications or renewals with US state, county or city agencies.
- Experience with a COI tracking platform (for example myCOI, TrustLayer, Jones, bcs, SmartCompliance, Certificial or CertFocus).
- Background in construction, roofing, home services, insurance or another licensed trade.
- Experience supporting several legal entities or brands at once.
- Experience working directly with a US-based company or US-based clients.
Tools & Software
- A certificate of insurance (COI) tracking platform — training provided on the specific platform in use.
- State licensing board portals and city or county licensing and permitting portals.
- Microsoft 365 — Outlook, Word, Excel, Teams — with SharePoint and OneDrive for document retention.
- Adobe Acrobat or a similar PDF tool for completing, combining and submitting application packets.
- Hubstaff for time tracking during paid working hours.
