The Role

As a Clinic Associate within Health Solutions, you will play a key role in supporting the day-to-day operations of Intellect Clinic and ensuring a smooth and positive client experience. Your primary responsibility will be to support clients in accessing Intellect’s clinical services and to coordinate clinic operations remotely across various channels, including WhatsApp, email, chat and calls. You will work closely with the Singapore-based clinic operations and clinical teams to support appointment coordination, client enquiries, administrative workflows and other backend clinic operations

What You'll Do

Clinic Operations & Administrative Support

• Support the clinic team in ensuring smooth day-to-day operations across Intellect’s clinics.
• Manage frontline client enquiries through WhatsApp, email, chat and calls.
• Coordinate client registrations, appointment bookings, rescheduling and cancellations.
• Maintain accurate client information and records within the Electronic Medical Record (EMR) and relevant internal systems.
• Support clinician scheduling and appointment coordination, including follow-ups with clients where required.
• Support payment-related administration, including payment tracking, invoicing and reconciliation workflows.
• Maintain accurate operational trackers and support routine clinic reporting.
• Escalate operational, client or clinical-related concerns to the appropriate team member where required.

Client Engagement

• Engage with both private and corporate clients to support access to Intellect Clinic services.
• Provide clear information on available clinic services, clinician options, appointment availability and relevant administrative processes.
• Guide clients through the booking and onboarding process and support timely follow-up where needed.
• Coordinate with internal teams to resolve client enquiries and ensure continuity of care.

Clinician & Internal Coordination

• Support clinicians with administrative and scheduling-related matters.
• Follow up on outstanding operational items, documentation or client coordination where required.
• Coordinate closely with Singapore-based Clinic Assistants and Health Solutions to ensure adequate coverage and smooth handovers.
• Support leave and business continuity coverage for backend clinic operations.

Corporate / B2B Operational Support

• Support the Health Solutions / Care Operations teams in receiving, documenting and coordinating corporate service requests.
• Assist with eligibility verification, referral administration and appointment coordination where applicable.
• Support administrative processes and respond to relevant stakeholder enquiries.

Requirements

• Candidates should possess at least a Bachelor’s Degree or equivalent qualification.
• Previous experience in healthcare administration, clinic operations, customer support, care coordination or a similar operational role is preferred.
• Strong written and verbal communication skills.
• Comfortable engaging with clients through WhatsApp, email and calls.
• Responsible, meticulous, organised and able to work independently in a remote environment.
• Strong attention to detail when managing client information, schedules and administrative workflows.
• Comfortable working across multiple digital systems and proficient with technology.
• Good command of written and spoken English. Additional language capabilities are advantageous.
• Ability to work closely with a Singapore-based team and support clinic operating hours where required.
• Candidates must be comfortable with a rostered shift arrangement, which will include evening shifts and Saturday coverage (44 hours per week, including three night shifts weekly and two Saturdays per month (half day: 10:00 AM – 2:00 PM).

Location & Working Arrangement

Open to remote candidates based in the Philippines.

The role will primarily support Intellect’s Singapore clinic operations remotely. Working hours will be aligned with Singapore clinic operating requirements and will be rostered accordingly, including evening shifts and Saturdays.

Candidates should be comfortable collaborating closely with the Singapore-based team and supporting business continuity coverage where required.
