Restaurant Brands International Inc. (“RBI”) is seeking a US Payroll & Tax Analyst to work collaboratively with a high-performing team supporting U.S. payroll processing, payroll tax compliance, and related accounting activities.

The Analyst will provide hands-on support across the U.S. payroll lifecycle, including regular and off-cycle payrolls and validations, employee taxation, payroll tax operations, reconciliations, and month-end, quarter-end, and year-end activities. The role is designed for someone who can assist with day-to-day payroll execution while developing strong expertise in U.S. federal, state, and local payroll taxation within a complex, multi-state environment.

RBI follows a 5 day, in-office work schedule to support collaboration. Successful candidates will be expected to work onsite 5 days per week at RBI’s Toronto office.

Key Responsibilities

• Support the end-to-end processing of U.S. payrolls, including regular, off-cycle, and supplemental payroll runs.

• Assist with payroll inputs, calculations, audits, validations, corrections, settlement activities, and post-payroll review to help ensure employees are paid accurately and on time.

• Review payroll results for exceptions and variances, including earnings, deductions, taxes, retroactive activity, one-time payments, and net pay.

• Support U.S. federal, state, and local payroll tax activities, including employee tax setup, withholding validation, tax jurisdiction review, and resolution of payroll tax issues.

• Support the setup and maintenance of U.S. state and local tax registrations across multiple brands and periodically review applicable tax portals and account status.

• Assist with the review and validation of quarterly U.S. payroll tax filings and support the research and resolution of filing or payment discrepancies.

• Serve as a point of contact for payroll tax notices and inquiries from U.S. federal, state, and local tax authorities, coordinating research and resolution with internal teams and external vendors as needed.

• Support quarter-end and year-end payroll activities, including balancing, reconciliation, W-2 validation, tax adjustments, and year-end payroll processing.

• Assist with payroll reconciliations, including payroll registers, tax liabilities, third-party payments, Payroll GL accounts, and month-end journal entries.

• Support employee payroll inquiries and research payroll or tax discrepancies through to resolution.

• Assist with garnishments, unclaimed wages, and other U.S. payroll compliance processes as required.

• Partner with Payroll, Payroll Tax, Finance, HR, Workday functional teams, and external vendors on payroll-related projects, testing, system enhancements, and process improvements.

• Support Workday payroll testing and validation for configuration changes, integrations, earning and deduction codes, tax updates, and other payroll initiatives.

• Identify opportunities to improve payroll controls, reduce manual processes, and strengthen payroll accuracy and operational efficiency.

Skills & Requirements

• Bachelor’s degree in Finance, Accounting, Business, Economics, Human Resources, or a related field.

• One to three years of experience in U.S. payroll, payroll tax, accounting, or a related finance function preferred.

• Working knowledge of U.S. payroll concepts, including gross-to-net calculations, earnings, deductions, federal and state withholding, FICA taxes, and payroll reconciliations.

• Exposure to multi-state U.S. payroll and state/local taxation is strongly preferred.

• Experience with Workday Payroll preferred; experience with SAP or payroll tax/vendor platforms is an asset.

• Strong Excel skills and the ability to analyze payroll data, reconcile differences, and identify exceptions.

• Strong organizational, analytical, and problem-solving skills with the ability to manage multiple payroll deadlines and priorities.

• Excellent written and verbal communication skills and the ability to work effectively with employees, internal partners, and external vendors.

• Ability to independently learn and apply complex payroll processes, tax requirements, and system functionality.

• High attention to detail with a strong focus on payroll accuracy, compliance, confidentiality, and quality.

• Results-oriented, adaptable, and comfortable working in a fast-paced, deadline-driven environment.

For Candidates Based in Ontario, the Expected Salary Range is:

Base salary range of $60,000 – $70,000 CAD. Base salary for this position may vary based on relevant factors such as experience, education, location, and skills. This position is eligible to participate in the Company’s annual discretionary bonus plan, subject to the terms and conditions of the incentive program, based on individual and company performance metrics.
