Job Role: AI Automation Specialist
Compensation range: $1,800 AUD - $2,800 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We're looking for an AI Automation Specialist to transform how our business operates by identifying opportunities to streamline processes, eliminate repetitive work, and maximize the value of our existing technology stack.
This is more than an automation role, you'll evaluate current systems, redesign workflows, build intelligent automations, connect business applications, and introduce AI-powered solutions that improve productivity across the organization.
The initial engagement is expected to run for approximately six months, with strong potential for an ongoing long-term partnership as additional projects are introduced.
Key Responsibilities:
- Audit the firm's existing software and technology ecosystem, documenting system usage, ownership, and business value.
- Analyze and map end-to-end business workflows across client onboarding, document management, research, drafting, billing, reporting, and administration.
- Identify high-impact automation opportunities and design solutions that improve efficiency and reduce manual work.
- Build integrations between business systems using APIs, webhooks, native connectors, and automation platforms.
- Develop AI-powered workflows and intelligent assistants that support research, document review, drafting, administrative processes, and internal operations.
- Create prompts, templates, documentation, and standard operating procedures to ensure consistent adoption of AI tools.
- Evaluate overlapping software, recommend consolidation opportunities, and identify potential cost savings.
- Train team members on new systems, automations, and AI workflows to encourage long-term adoption.
- Ensure all automations and integrations comply with confidentiality, privacy, and data security requirements.
- Monitor automation performance, report measurable business improvements, and recommend future optimization opportunities.
- Ensure data security and optimise client confidentiality when designing, implementing, and maintaining all automations, integrations, and AI workflows.
Required Skills and Qualifications:
- At least 3 years of experience in automation, systems integration, business process improvement, IT consulting, or a similar role.
- Hands-on experience with automation platforms such as Make.com, Zapier, n8n, or Microsoft Power Automate.
- Strong understanding of APIs, webhooks, and SaaS integrations.
- Experience designing AI workflows using tools such as ChatGPT, Claude, Microsoft Copilot, or similar generative AI platforms.
- Strong analytical and problem-solving skills, with the ability to understand unfamiliar business processes and identify improvement opportunities.
- Excellent English communication skills, both written and verbal.
- Ability to confidently present recommendations to senior stakeholders.
- Strong attention to detail and the ability to handle confidential information with discretion.
Nice to Haves:
- Experience working within a law firm, accounting practice, consulting firm, or other professional services environment.
- Familiarity with legal or practice management platforms such as Actionstep, NetDocuments, LexisNexis, Relativity, Harvey AI, or similar software.
- Programming experience using Python or JavaScript for custom automation development.
- Experience with Microsoft 365 and the Microsoft Power Platform.
- Previous experience delivering user training and driving adoption of new technology.
