Job Duties:
- Answer main telephone and help customers with questions regarding their print jobs (status, cost, etc.) on daily basis.
- Sort incoming mail and distribute to appropriate staff.
- Monitors and manages documentation in the OnBase system. This includes uploading purchase orders, packing slips and invoices for the Print Shop, Copy Services and Mail Center. Also reviews packing slips for verification that all information matches the purchase order and all materials have been received.
- Organize completed jobs for filing. Box up old files as necessary and prepare paperwork for transferring to Records Management.
- Receipts the purchase orders in Enterprise 1, records batch and document numbers on the paperwork.
- Responsible for ordering supplies through Office Depot. Monitor supplies in the cabinet and replenishes when supplies are low. Keeps a log of what supplies were ordered on each shipment.
- Give customers access to the online printing requisition software through Centurion program.
- Manage backup documentation for the monthly DOC room billing. Sends copy of documentation to customers through InterAgency mail or through email.
- Assist with purchasing and accounting paperwork as needed.
- Support customers and troubleshoot issues with the online printing requisition. Monitors the "in-submitted printing requisition" and contact customers if they have a job in there so the requisition can be submitted successfully. Coaches the customer to prevent the same error in the future.
- Prepares job packet for each incoming job. Looks up previous job number and gives to the scheduler. Requests older print jobs from Records Management when necessary.
- Provide backup for daily print shop billing.
- Other duties as assigned within the scope of the classification.
Requirements / Qualifications
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
Preferred Qualifications: Strong organizational skills and attention to detail. Familiar with JD Edwards. Professional, dependable, and customer-service oriented. Basic accounting, billing, and financial procedures.
Other: Regular and Reliable attendance is required.
