Purpose

The Academic Program Coordinator provides administrative support for the School of Civic Leadership's undergraduate academic programs. Reporting to the Associate Director of Academic Affairs, the position maintains academic records, tracks deadlines, prepares routine communications and reports, and supports course scheduling, study abroad, internships, honors theses, assessments, and academic processes.


Responsibilities

Course and Curriculum Support

  • Collect and enter approved course, instructor, room, and scheduling information; maintain Class Manager, Course Schedule, and related trackers.
  • Coordinate routine submissions for FaSET, final exams, final grades, catalog updates, room scheduling, and HB 2504 requirements.
  • Maintain records, distribute approved updates, and flag missing or inconsistent information for review.

Study Abroad and Internship Program Support

  • Assist in the preparation of materials for program proposals, course scheduling, and student registration. Initiate submission for appropriate approvals.
  • Maintain timelines, participant records, and routine communications; coordinate approved recruitment information with advisors and communications staff. Assist in the coordination
  • Maintain applications for internship, assist in the coordination of internship placements and enrollment. Regularly update employers, student, and placement records.
  • Partner with SCL Career success team to compile and communicate outcome data.

Honors Thesis Support

  • Update program guides, forms, calendars, and participant records and track student and faculty deadlines.
  • Coordinate thesis and other related event logistics and collect faculty and student feedback for program review.

Assessment and Reporting

  • Collect, verify, and organize program data for assessments and recurring reports.
  • Prepare draft summaries and maintain assessment files and submission records using established templates.

Academic Policy and Appeals Support

  • Maintain policy resources and confidential appeal records; confirm receipt of required materials and track reviews.
  • Prepare routine correspondence and refer policy interpretation and decisions to the appropriate administrator or committee.

Required Qualifications

  • Bachelor’s degree in a related field.
  • Two years’ experience in related position/field
  • Demonstrated experience working on projects with multiple stakeholders in a professional setting
  • Strong interpersonal skills including an interest in supporting student success
  • Strong organizational skills with ability to manage multiple projects and deadlines simultaneously.
  • Excellent written and verbal communication skills, including experience preparing summaries, reports, and documentation.
  • Familiarity with MS Office and Adobe.

Relevant education and experience may be substituted as appropriate.


Preferred Qualifications

  • Demonstrated experience with UT System business policies and procedures.
  • Demonstrated experience with UT curriculum management systems.
  • Demonstrated experience coordinating events or projects involving multiple stakeholders.
  • Demonstrated ability to produce and format professional documents, including PDF creation and editing.
  • Demonstrated ability to manage multiple concurrent projects with competing deadlines.

Salary Range

$56,000+ depending on qualifications

Employment Eligibility:

Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
