What You Would Get To Do

The Senior Event Manager will consistently deliver exceptional service to our clients through excellent operational and logistical facilities management. This position will be responsible for managing, supporting, and/or coordinating various events in the client’s meeting spaces. The role requires strong operational understanding and practical experience in event logistics and venue management. Along with other FIRST team members, the Senior Event Manager will represent the FIRST Solutions brand on-site within a well-known tech company. In this role, you’ll work with internal teams to coordinate the logistical needs of the event space.

Your Contributions

• Provides consultative ‘one stop shop’ planning support for Event Hosts to ensure exemplary event experience
• Discovery of Event Host objectives and requirements for live and digital events.
• Oversees organization of logistics, decor, entertainment, catering and all other event needs
• Ability to recommend event enhancements to achieve desired event objectives
• Review of all meeting spaces to ensure proper space assignment
• Informs Space & Service Coordinator of space need changes and cancellations to digital and on-site events
• Update group information in internal systems in a timely manner
• Periodically checks event spaces and setups to ensure event services are appropriately delivered
• Provide onsite support during the event execution, coordinating event support needs with the Event Service Specialist
• Create, manage and distribute event details using the approved internal template to all stakeholders and service lines involved in the event
• Conduct  debriefs post-event with Event Host and communicate comments/compliments/issues to service teams 
• Work closely with all departments to develop and be responsible for event requirements and deliverables, including but not limited to communications, calendars, registration needs, feedback surveys, and wrap-up reports
• Coordinate with facilities, arranging and overseeing all event details, such as audio and visual, decor, catering, security, entertainment, premiums/swag, and transportation
• Create in depth event based on strategy while pushing the boundaries of creativity and innovation
• Manage multiple programs/events across various industry verticals with creativity, innovation, and strategy, delivering world-class creative execution
• Conduct site visits
• Manages high-profile and complex events, often acting as the lead  on global events involving multi-region support
• Act as a mentor to other team members, conducting group meetings as needed
• Train new employees and schedule their training and shadowing. Be the point person for new employees for their training weeks

What We Are Looking For

• 5–7+ years’ event management experience
• Strong meeting coordination experience for meetings/conferences ranging from 50 to 300+ people
• Experience working with high-profile stakeholders and event agencies
• Experience working cross-functionally with all levels of stakeholders in a fast-paced environment
• Ability to understand the meeting/event objective and mission, business, and audience in order to align with the overall vision and strategy of the needs of the Event Host and event
• Excellent organizational, time management and prioritization skills
• Ability to execute tasks independently and efficiently
• Creative problem solver, resourceful, team player
• Adaptability to situations and ever-changing demands

• This role will be assigned to a primary location, but will require flexibility to be deployed to support across the campus as required

This role involves overseeing all aspects of event operations, from initial briefing to post-event reconciliation. Key responsibilities include managing project plans, collateral, registration, transportation, hotel accommodations, entertainment, food and beverage, audio/visual needs, webcasts, staging, speaker coordination, and event execution.

There is a requirement for onsite events to travel domestically or abroad as required.

Your Contributions

• Full life-cycle planning and execution of multiple key events in a virtual, in-person and hybrid capacity
• Financial management, including: budget development and management, expense management and invoice processing, timely post-meeting reconciliation and final financial reporting 
• Sourcing, negotiating and managing site selections, contract management for venues and suppliers

• Virtual event planning and project management including confirming appropriate virtual platform, creation of timelines, invitation process, thorough and regular communications to attendees, suppliers and stakeholders
• Co-plan with colleagues and the client on larger scale programs; strong team player
• Ensure adherence to the client’s standards of operation and policies and that compliance and risk guidelines are followed
• Travel when applicable for site inspections and on-site management of live events to ensure full coordination of logistics and on-site teams for in-person events
• Post event wrap up including final attendees, budget reconciliation, observations, as well as client debriefs for year over year improvements

Bachelor's degree preferred

What We Are Looking For

Your Contributions

What You Would Get To Do

This role is primarily responsible for leading and managing a team of corporate event planners, overseeing delivery across multiple client and company initiatives, and supporting C-level and senior stakeholders. The Team Lead works closely with the Team Manager on a dedicated client account, providing strategic and on-the-ground insight into the client’s business. The Team Lead also maintains key client relationships and provides oversight across event planning, venue sourcing, attendee data management, roadshows, or event technology, depending on role alignment.

Your Contributions

• Collaborate with the Team Manager to understand the strategic approach to the client account, providing on-the-ground insight into the client's business and opportunities, while offering input on key challenges and driving the business with a strong understanding of the larger organisational picture
• Mentor and develop 5-12 direct reports, conducting performance development conversations and managing the process
• Oversee the team's workload, ensuring a clear understanding of capacity and pressure points through regular 1:1 meetings. Field questions and offer advice to team members to assist with creative problem-solving and knowledge sharing. Manage vacation schedules and approve monthly expenses.
• Ensure the team maintains strong, positive relationships with clients
• Collaborate with the Team Manager to ensure development opportunities, adequate business coverage, and continuity, including succession planning
• FIRST ambassador: participate and engage with FIRST initiatives and extracurricular activities where possible
• Lead and motivate the team to work efficiently, fostering positive communication and an open, inclusive environment that ensures good team morale
• Liaise with the Team Manager and P&C team on talent development and recruitment for open direct report roles, while overseeing the onboarding and offboarding processes
• Active training and development of the FIRST Team. Encourage direct reports to be knowledgeable of best practices, new suppliers, services, and venues, and to be proactive with ideas and creative solutions
• Liaise with stakeholders to refine workstreams for efficiency, meet evolving business requirements, and proactively assist with ad hoc projects, troubleshooting problems and optimising workflows, particularly during periods of change
• Refine and drive best practice; ensure team adheres to firm’s SOP and compliance requirements
• Manage up; raise and escalate potential concerns and successes to management on a regular reporting basis
• If applicable, this role may be required to support a book of work for planning, venue sourcing, attendee data management, roadshow management or event technology, depending on the role alignment within a specific client account, which includes end-to-end project management for the book of work assigned
• Work seamlessly with key internal partners and stakeholders on event deliverables and to understand and drive event objectives forward; consistently maintain excellent client relations even in challenging situations
• Travel for on-site management when necessary

What We Are Looking For

• People management experience preferred
• Advanced experience of events and conferences, including but not limited to C-level executive events, cocktail receptions, meetings and conferences 
• Experience with venue sourcing, including extensive knowledge in  contracting, negotiation and commission collection, may be required
• Experience with event and registration technology, particularly Cvent and Dealogic / Conference Manager, may be required
• Experience with virtual platforms, including but not limited to Zoom, Webex and On24, may be required

This is a remote role from San Franciso Bay area, estimated to be between 75 to 200 hours a month, workload may vary depending on event needs.  This contract has the potential to transition to full-time based on performance and business needs.
