Job Summary
Join our team as an Administrative Assistant in Incirlik, Turkey, where you'll perform administrative activities aligned with U.S. Air Force standards. In this role, you'll deliver essential correspondence and coordination, developing a system of record keeping that adjusts to the demands of the Air Force customer. You will also support the Project and Construction Management section by maintaining project documentation, coordinating workflow requirements, and ensuring accurate and timely administrative support for construction activities. Roles and Responsibilities
- Prepare correspondence, reports, spreadsheets, presentations, and various documents using Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Publisher, etc.).
- Enforce quality standards for all written correspondence leaving the organization; prepare, proofread, update, route, track, save/load, and follow up on all required documents (appointment letters, working instructions, inventory, training logs, reports, briefings, etc.).
- Provide written and oral translation between English and Turkish.
- Prepare and coordinate eSSS (KSLs) for correspondence with Agencies and 10th Tanker Air Base Command (road closures, power outages, etc.).
- Maintain electronic and paper files as the unit Records Manager.
- Ensure current publications and forms are used throughout the unit.
- Perform various clerical duties including answering phones, taking messages, scheduling appointments/meetings, managing conference room usage, and publishing meeting minutes.
- Perform other administrative tasks as assigned.
- Conduct personnel recall when required and prepare RAM reports when necessary.
- Prepare and coordinate contractor personnel lists (EALs) and private vehicle (POV) access for Airfield and restricted areas.
- Prepare, submit, and coordinate access approvals for all Temporary Duty (TDY) requests.
- Coordinate photo authorization approval with 39 ABW/PA twice a year.
- Maintain the Construction Project Status Spreadsheet; add newly awarded projects, update project status (Under Construction, Close-out, Completed, Cancelled, Under Warranty), and send the list to CONS bi-weekly.
- Update the Construction History Spreadsheet and send it to CECEP for quarterly submission to TURAF.
- Maintain MOD Tracker.
- Maintain electronic folders for AF Form 103, two-way memos, close-out documents, inspection reports, pre-final/final inspections, BOD, post-acceptance inspections, ensuring all required documents are under correct tabs.
- Send weekly project update reports to Drafting Section.
- Update NexGen IT after project award.
- Maintain DD Form 1354 spreadsheet, conduct electronic coordination, and forward signed copies to Resources and Real Property.
- Enter warranty data for accepted projects into the O&M Recall Database and notify shops.
- Track warranty expirations and notify PMs for post-acceptance inspections.
- Maintain OT Tracking Spreadsheet and enter data into the O&M Recall Database.
- Fill daily attendance exception reports and send them to PMO.
- Update workload data reports at the end of each fiscal year.
- Maintain Vehicle Log Spreadsheet; enter mileage and fuel data into the Recall Database.
- Coordinate scheduled vehicle maintenance and waxing.
- Coordinate VCO training and send attendance logs to VCO.
- Coordinate drive-arounds with Wing and MSG/CC, including arranging transportation.
- Maintain administrative tasks for the Escort Office as required.
Basic Qualifications
- Turkish Citizen
- Four-year university degree
- English proficiency: Reading Level III, Written Level III, Verbal Level III
- Proficiency in native language (Turkish)
- Class B (passenger vehicle) driver’s license
Preferred Qualifications
- Prior experience working as an Administrative Assistant.
- Prior experience working for the US military.
- Prior experience working on Incirlik Air Base.
- Strong computer proficiency, including advanced use of Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Publisher) for preparing reports, spreadsheets, correspondence, presentations, and data‑driven documents.
- Ability to manage digital records, databases, and share electronic folders with accuracy and attention to detail.
- Experience working in environments requires strict documentation standards, version control, and compliance with established administrative procedures.
All positions require the applicant to obtain and pass a medical physical that is certified by a doctor.
All positions require a current and favorable Turkish Security background check.
All male candidates must have completed their military service.
