Travel Executive

Qatar

Parsons is looking for an experienced and talented Travel Executive to join our team in Doha, Qatar! In this role, you will provide research, arrange and coordinate travel, transportation and accommodation for employees according to specific functional area and budget needs

What You’ll Be Doing

Travel request processing:

•Arrange flight, hotel and transportation bookings for business trips & trainings inside and outside Qatar

•Amend employee travel requests with short notice, during on-duty hours and occasionally, beyond working hours

•Provide ‘on-call’ services beyond required business hours to address any needs of employees or clients, in transit or in difficulty

•Coordinate with travel agents and airlines to book air tickets and hotels

•Develop and distribute itinerary plans for large groups of travelers

•Create and maintain relevant files to distribute to travelers with direction and destination information

•Analyze travel arrangements to determine compliance with local and international visa and travel regulations to promote incident-free travel for company staff and guests

Business travel financials:

•Certify that business travel arrangements are of the highest quality standard and at the lowest possible cost

•Meet with and negotiate corporate discounts with hotel Sales Managers and flight travel agents

•Process employee travel expenses

•Receive invoices, arrange for payments and reconcile expenses as required by SLA contractual obligations between the company and vendor

•Determine eligibility for money returns

•Prepare monthly, quarterly and yearly reports on travel trips and overall travel trends within QD

•Contribute towards the preparation of the travel section budget

•Monitor financial performance versus pre-defined travel budget so that QD is aware of anticipated costs and revenues

 Other duties:

•Provide QD staff any information required in regard to destination and travel inquiries

•Research and remain current with the latest travel procedures, including regulations and cultural differences of relevant destinations

•Update Director, General Services on any serious or complex issues that have arisen during the travel process

•Review and propose amendments to Director, General Services regarding the existing internal QD travel policy

•Perform other duties and responsibilities as needed as well as determine and manage priorities with minimal guidance

What Required Skills You’ll Bring

• 5+ years experience in a Business Travel management environment
• Previous customer support experience is desired
• Experience in travel budgeting and knowledge of travel procedures is desired
• Excellent time management and organizational skills, with the ability to manage multiple tasks and deadlines.
• Strong oral and written communication skills.
• Ability to work under pressure while maintaining a high level of accuracy and attention to detail.
• Excellent knowledge of MS Office applications, especially Word, Excel, PowerPoint, and Outlook.
• Effective team player with strong interpersonal skills.
