Job Description:

Basic Purpose of the Role:

Support AAME Training Centre operations with general administrative tasks to support the smooth day-to-day operations. The candidate will be responsible for the management of trainee files (including archiving) and support courses logistics. The target is to ensure excellent service standards and maintain high customer satisfaction from the confirmation to the completion of the course. Focusing on the execution and delivering the best quality of customer services as per Airbus standards.

Main Responsibilities:

• Responsible for the management of Trainee folders cycle, from start of the course to the archiving process once courses are completed
• Ensure all training forms & folders are signed by relevant stakeholders within the Flight Training Department
• Ensure all training records are printed/collated in a timely manner, to be shared with the customer training departments
• Ensure training dossiers are thoroughly scanned and documented in GDrive
• Coordinate with customer training departments for trainee registration and documentations, ensuring trainee profiles are accurately managed in MyTeam database
• Ensure deployment of up-to-date Airbus training media before the commencement of the course
• Coordinate the booking of instructors’ flights, accommodations and visas for training delivery in the region and worldwide
• Manage the procurement of trainee kits, booklets and office supplies
• Manage the office environment (including lobby, classrooms and briefing rooms) to ensure readiness for training delivery
• Support General Manager / Head of Training when required with any predefined tasks

Job Requirement:

• Good command of English language (verbal and written) with strong communication and interpersonal skills
• Good organizational and time-management skills
• Customer-oriented mindset paired with strong problem-solving skills to anticipate needs and resolve issues quickly
• Strong collaborator and effective team player who excels when working within a multicultural team
• Basic IT skills in managing devices, laptops
• Proficient in Google Workspace, (including, but not limited to, GSheets, GDocs and GDrive) and Procurement software
• Knowledge of Aviation and Flight Training is advantageous
