We are looking for a detail-oriented and customer-focused Service Support Executive (Back Office) to support our sales and service operations. This role plays a critical part in ensuring smooth order processing, accurate documentation, and seamless coordination between customers and internal teams. The ideal candidate is highly organized, proactive, and capable of managing multiple tasks in a fast-paced environment.
Responsibilities / Tasks
Responsibilities:
- Prepare and process sales quotations, proposals, and contracts.
- Maintain and update customer records and sales data in CRM and ERP systems (e.g., SAP).
- Track and follow up on sales orders, delivery schedules, and invoicing.
- Act as a liaison between customers and internal departments (logistics, finance, service).
- Respond to customer inquiries and provide timely updates on order status.
- Ensure all sales documentation is complete, accurate, and properly filed.
- Generate regular sales reports and assist in sales forecasting and budgeting.
- Coordinate with various departments to ensure seamless operations.
- Support the sales team with travel arrangements, meeting coordination, and event planning.
- Assist in organizing customer visits, product demos, and exhibitions.
- Other tasks assigned by Line Manager
Your Profile / Qualifications
Requirements
- Minimum 2 years of experience in Sales Administration, Customer Service, Service Support, or a related role.
- Experience working in an engineering, industrial, manufacturing, or technical business environment is preferred.
- Strong attention to detail, accuracy, and accountability in handling documentation and processes.
- Proven ability to prioritize tasks and manage multiple responsibilities effectively.
- Customer-oriented mindset with excellent problem-solving skills.
Skills & Competencies
Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Familiarity with ERP and CRM systems; SAP knowledge is an advantage.
- Strong verbal and written communication skills in English and Vietnamese.
- Excellent organizational, coordination, and interpersonal skills.
- Proactive, detail-oriented, and able to work independently as well as collaboratively within a team.
- Positive attitude with a strong commitment to customer satisfaction and operational excellence.
