About the opportunity
At Mercy Health, you'll become part of a proud history built on over 100 years of expertise, skill and care. As a Seniors Living Administration Coordinator, you will play a pivotal role in supporting the administrative operations of our Seniors Living portfolio. You will coordinate customer enquiries, contracts, documentation, settlements and resident onboarding processes, ensuring a seamless and positive customer experience from enquiry through to move-in.

In this role you will:

  • Assist in delivering the Mercy Health Seniors Living service offering through efficient administration and workflow coordination.
  • Coordinate customer enquiries, documentation, contracts and settlement processes across the Seniors Living portfolio.
  • Prepare and manage Village Contracts, Disclosure Statements, Fact Sheets and associated documentation.
  • Support prospective residents and their families throughout the customer journey, ensuring timely and professional communication.
  • Maintain accurate customer, occupancy and contract records within CRM and business systems.
  • Monitor workflow milestones and coordinate activities to ensure settlements and resident transitions occur within required timeframes.
  • Liaise with Village Managers, Precinct Managers, Finance, Legal, Marketing and external stakeholders to facilitate successful customer outcomes.
  • Generate reports relating to enquiries, occupancy, settlements and sales administration activities.
  • Ensure compliance with Retirement Villages legislation, organisational policies, privacy requirements and regulatory standards.
  • Support accreditation, quality improvement and governance activities across the Seniors Living portfolio.
  • Champion the effective use of CRM and workflow management systems to improve efficiency, data integrity and customer outcomes.
  • Contribute to continuous improvement initiatives that enhance customer experience, administrative processes and operational effectiveness.
  • Ensure residents, prospective residents and their representatives experience a positive and supportive customer journey throughout their interaction with Mercy Health.

What you'll bring

To thrive in this role, you will have:

  • Tertiary qualification in Business Administration, Customer Service, Property, Management or a related discipline (desirable).
  • Experience in an administrative, customer service or coordination role, preferably within Retirement Living, Aged Care, Property or Health sectors.
  • Sound understanding of Retirement Villages operations, contracts, disclosure requirements and customer administration processes.
  • Experience managing contracts, documentation, workflows and records with a high degree of accuracy and attention to detail.
  • Strong proficiency in CRM systems, Microsoft Office applications and database management.
  • Excellent organisational skills with the ability to prioritise multiple tasks and meet critical deadlines.
  • Strong communication and stakeholder engagement skills with the ability to liaise confidently with residents, families and internal teams.
  • Demonstrated ability to identify process improvements and support efficient workflow management.
  • A commitment to maintaining confidentiality, compliance and high standards of governance.
  • A compassionate, flexible and customer-focused approach aligned with Mercy Health values.
  • The ability to nurture friendly, respectful relationships and contribute to a collaborative team environment.
  • Strong problem-solving skills and the ability to work independently while supporting broader team objectives.
