Job Summary

The Senior Global Hip Health Coordinator is responsible for overseeing a broad range of activities to support the smooth operation and success of research lab initiatives.  The Senior Global Hip Health Coordinator will lead the planning and execution of global events, oversee communications strategies, and create comprehensive promotional materials targeting key stakeholders, media, donors, and fundraising organizations. Additionally, the role encompasses financial oversight, including the management of grants, donor contributions, and financial reporting, ensuring strict adherence to the financial policies and procedures of UBC, PHSA, and relevant funding agencies.

The UBC Department of Orthopaedics has an international reputation for excellence in teaching, research and patient care. Our mission is to create knowledge, advance learning, and improve musculoskeletal health for the community at the provincial, national, and international levels. The Department consists of seven clinical divisions and a division of orthopaedic research, and is comprised of 200+ academic and clinical faculty who choose to contribute large blocks of their time to advance knowledge in the areas of clinical orthopaedics, musculoskeletal science as well as applied biomedical engineering and related basic science areas. This focus allows the Department to be at the forefront of exciting new developments in the areas of minimally invasive joint replacement, improved bone healing, advanced techniques in spinal surgery, innovative arthroscopic techniques, and improved biomaterials and implants.

The Hippy Lab promotes pediatric orthopedic health locally and globally through a variety of growing international research and outreach programs, including world-leading prospective longitudinal registries, region-specific and culturally appropriate care pathways, and a global community of hip health advocates (the Hip Hope Network). This team is supported by the UBC Department of Orthopedics, which has an international reputation for excellence in teaching, research and patient care.

The incumbent reports to the Principal Investigator and has working relationships with the Lab Directors, as well as clinicians, faculty, staff and students within the lab and department. The Senior Global Hip Health Coordinator oversees full-cycle student employees, including recruitment, management of work schedule and load, monitoring of performance, and offboarding

Work Performed

• Manages community membership and partnerships by independently identifying engagement opportunities, fostering relationships, activity planning, and member management. Develops strategic priorities and ensures its alignment with executives and stakeholders and executes partnership, collaborating with various teams and community contributors
• Manages local and global events, including multiple series and annual multi-day in-person and hybrid events (e.g., International Hip Health Day, Hip Hope Network meetings in Vancouver, Nashville, and Washington DC). Responsible for end-to-end event planning and execution, including budgeting (up to $75K+), communications, agenda and speaker organization, registration, logistics, team leadership, and post-event reporting
• Manages positioning and identity of an interconnected family of global brands (e.g. Hippy Lab, Hippy Global Registry Program, and Hip Hope Network), creates and oversees the implementation of communication plans on multiple platforms (e.g. web sites, social channels, email engines), prepares presentations, newsletters, reports, digital media, promotional materials, and info packages for media, fundraisers, and donors.
• Manages financial resources for the research lab.  Responsible for resource allocation, budget development, and reporting across UBC and PHSA grant accounts. Designs and manages financial strategies for Hippy Lab-led studies, including quarterly payments to multiple study sites.
• Oversees research grant finances, including donor payments, financial reporting, and UBC/PHSA credit card expenditures, while monitoring, reconciling, and summarizing financial transactions for projects, events, and initiatives.
• Maintains current knowledge of financial requirements of granting agencies; Interprets and ensures practice abides by UBC, PHSA, and/or funding agencies’ financial polices and procedures. Advises research lab staff as necessary.
• Maintains relevant agreements and key relationship information, as well as coordinating project updates to various participants and stakeholders.
• Oversees student employees, responsible for recruitment, training, and supervising; Responsible for managing work schedules, assigning work, managing assignments from other team members and volunteers, performance management, and seeking work assignments
• Coordinates with HR and team members for administering sensitive materials, such as financial contracts and agreements.
• Independently researches, identifies, and implements new technology and systems to be used by/for global outreach and the Hip Hope Network, responsible for contract agreement and maintaining relationship with vendor
• Defines and implements the team’s Standard Operating Procedure for shared resources management of team calendars, activity trackers, record retention…etc.
• Oversees UBC and PHSA finance processes, responsible for processing invoicing and journal vouchers, and monitoring research account spending
• Participates in special meetings and events that can occasionally diverge from normal work hours.
• Performs other duties as required.

Consequence of Error/Judgement

Failure to plan or follow up on initiatives and poor judgment or errors dealing with such matters would have an adverse effect on the Mulpuri Lab (Hippy Lab) research productivity, reputation, and operational management of the Lab. Ability to work collaboratively and exercise sound judgment in dealing with administrative matters where there may be no established policies, procedures or guidelines is essential. Failure to act in a professional, tactful manner would have an adverse effect on campus and community relations.

Errors in the management of research agreements and practices could result in unusable data and damage to reputation and relationships with collaborators and contributors. Errors in the management of accounts, as well as errors in reporting procedures, could result in a waste of financial resources, non-renewal of research funding, or loss of currently held funding. Inadequate documentation, organization, communication, and planning may adversely affect the image and reputation of the Lab and its parent organizations (BCCHRI, UBC, PHSA).

Supervision Received
This position works independently under the direction of the Principal Investigator and Lab Directors, and works closely with all members of the lab team, as well as collaborating teams.

Supervision Given
The Senior Global Hip Health Coordinator provides direction to research assistants, work-learn students, and volunteers, and to new staff regarding orientation and operational procedures. The incumbent may delegate work as necessary to ensure that the goals of various projects are met in a timely and efficient manner.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Experience: Experience working with research and researchers within an academic community is strongly preferred, including familiarity with grant processes and research ethics. Experience with project & event management, strategic communications, and processing and interpreting financial statements are strongly preferred. Relevant knowledge of UBC and PHSA admin procedures preferred. Experience with clinical research procedures strongly preferred.
