We're looking for a detail-oriented Operations Team Member to support the day-to-day administrative, leasing, compliance, and reporting functions across multiple manufactured housing communities in the U.S. This is an execution-focused role — you'll be the back-office engine that keeps leasing, billing, maintenance tracking, and reporting accurate and on time for our onsite Community Managers.

Core Responsibilities

Leasing & Resident Administration

• Enter and maintain leases, renewals, move-ins, and move-outs in Rent Manager
• Upload and organize resident documents (IDs, income proof, applications, agreements)
• Track lease expirations and flag renewals in advance
• Process resident info sheets and verify completeness

Background Checks & Compliance

• Run and track background & credit checks
• Record approvals/denials per Fair Housing guidelines
• Maintain audit-ready resident files
• Support compliance with HUD, state, and park-level rules

Charges, Billing & Collections Support

• Post rent, utilities, late fees, and one-time charges accurately
• Assist with water, sewer, trash, and power billing setups
• Identify and flag NSFs, delinquencies, and discrepancies
• Coordinate with accounting on corrections and reconciliations

Maintenance & Work Order Support

• Create and update work orders in Rent Manager
• Track status and follow up with Community Managers
• Upload invoices, notes, and before/after photos
• Help ensure maintenance hours are logged correctly

Reporting & Data Accuracy

• Prepare weekly/monthly reports (occupancy, delinquencies, move-ins/outs, leasing pipeline)
• Validate data accuracy across Rent Manager and Google Sheets
• Proactively flag exceptions, trends, and risks

Communication & Coordination

• Serve as back-office support for onsite Community Managers
• Communicate clearly via Slack and email
• Escalate issues with context and documentation

• Lease processing turnaround ≤ 24 hours
• Background checks completed same business day
• Near-zero billing error rate
• 100% on-time reporting
• Slack responsiveness within agreed SLA

Requirements

• 2+ years of experience in real estate back-office, property management, or operations
• Prior experience supporting U.S.-based clients preferred
• Strong proficiency in Rent Manager (or demonstrated ability to learn fast)
• Comfortable with Google Sheets, Docs, and Drive (intermediate to advanced)
• Working knowledge of U.S. leasing, billing, and compliance concepts
• Extremely detail-oriented, organized, and process-driven
• High integrity when handling confidential data
• Calm under pressure and comfortable supporting multiple communities at once
• Bilingual (English/Spanish) strongly preferred
