Purchase Coordinator is responsible for coordinating and monitoring the end-to-end flow of purchase orders and materials to ensure timely delivery to internal locations and customers.
The role acts as a central coordination point between Procurement, Logistics, Material Management , Sales, Customer Service, Global Supply functions and other relevant stakeholders, ensuring timely actions, clear visibility, and proactive resolution of potential delivery risks.
Responsibilities:
- Monitor and coordinate the end-to-end process from Purchase Requisition (PR) creation to Purchase Order (PO) issuance and final delivery.
- Track open Purchase Requisitions and Purchase Orders, ensuring timely processing and order placement through close coordination with Procurement teams.
- Monitor order status, supplier commitments, and delivery schedules to maintain visibility of critical and time-sensitive orders.
- Identify potential delivery risks, bottlenecks, and delays, and coordinate corrective actions with relevant stakeholders.
- Coordinate with Procurement, Logistics, Warehouse, and Material Management teams to ensure smooth material movement across suppliers, warehouses, internal locations, and customer sites.
- Track shipments and material movements to ensure on-time delivery to the required destination.
- Collaborate with Sales and Customer Service teams to support customer delivery commitments and priority orders.
- Act as the central coordination point between Procurement, Logistics, Material Management, Sales, Customer Service, Quality, and other cross-functional teams.
- Escalate critical supply, delivery, and operational issues to management and relevant stakeholders when required.
- Maintain accurate order, shipment, and delivery status information in ERP systems and tracking tools.
- Support continuous improvement initiatives to enhance order visibility, process efficiency, coordination, and on-time delivery performance.
- Ensure compliance with company policies, procedures, and operational processes while managing activities across national, regional, or global operations.
Skills and Knowledge Required:
- Bachelor's Degree in Mechanical Engineering or a related Engineering discipline.
- Minimum 3 years of experience in Procurement, Supply Chain, Logistics, Order Management, Materials Management, or a similar coordination role.
- Experience working in an international industrial or manufacturing environment is preferred.
- Strong understanding of technical materials, spare parts procurement, purchase order processes, and end-to-end supply chain operations.
- Knowledge of logistics, warehousing, inventory management, and material flow processes.
- Strong coordination, planning, organizational, and stakeholder management skills.
- Excellent communication and follow-up abilities with the capability to manage multiple priorities simultaneously.
- Experience working with ERP systems; knowledge of Infor LN or similar ERP platforms is an advantage.
- Advanced proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Outlook.
- Fluent written and verbal communication skills in English.
- Proactive, solution-oriented mindset with strong problem-solving capabilities.
- Ability to work effectively under pressure, manage competing priorities, and meet challenging delivery timelines.
- Strong attention to detail, ownership, and ability to identify, coordinate, and escalate risks in a timely manner.
- Ability to build strong working relationships with internal stakeholders, suppliers, customers, and external partners.
