About the Role 

This team’s mandate is to design and deliver a workplace experience that builds vibrant campuses, strengthens community across our businesses, and reduces outsized overhead — because strong relationships and collaboration drive better outcomes, and both depend on getting the workplace right. RESE carries that mandate day to day: managing occupancy across two campuses, building new spaces as demand increases, and evolving the client and employee experience at 295.  

We're looking for a Project Coordinator to help run that work well. You'll sit close to action of critical decisions, and you'll own the systems that keep a small, high-standards team moving: trackers, agendas, logistics, and the team's feedback rhythms. It's a hands-on way to learn how real estate and workplace strategy actually get executed, with real ownership from day one. 

Success here requires strong organizational skills, attention to detail, the ability to reliably run execution processes, sound judgment, good customer hands, ability to escalate risks, and comfort operating in a transparent, feedback-driven environment. Prior exposure to real estate or project management is a plus, but it is not required. 

You Will Drive the Following Responsibilities 

Day-to-Day Operations 

  • Maintain the calendar and coordinate logistics across internal and external stakeholders for two RESE Directors with established processes. 
  • Manage accurate, up-to-date trackers, agendas, and meeting minutes that support informed decision-making and track follow-throughs. 
  • Maintain organized file systems and support RESE's SharePoint pages so information stays current and accessible for our customer base. 
  • Maintain access controls by ensuring visitors are tracked in our system of record, and badges are deployed by the direction of RESE Directors. 
  • Manage expense reports for incurred RESE costs. 
  • Run the team's feedback machine and processes within established deadlines 
  • Support onboarding logistics and resources for new RESE team members. 
  • Execute ad-hoc administrative tasks (eg catering requests, tech tickets, printing, etc) 

Small Project Ownership 

  • Own defined, bounded projects end to end — examples include a conference room reconfiguration, signage changes — covering scope, timeline, vendor coordination, and closeout. 
  • Independently manage vendor quotes and scheduling for these projects, escalating only when cost, schedule, or scope shifts materially. 
  • Report status and outcomes on owned projects directly to the Directors as a discrete workstream. 

Documentation & Playbook Ownership 

  • Own and maintain RESE's standard operating playbooks and guiding-principles documentation as programs run through them. 
  • Document & improve workflows and process changes as they're adopted, including AI-enabled workflows, so they're repeatable without relying on institutional memory. 
  • Maintain Blu FAQ content and flag or resolve gaps and contradictions as they're discovered. 

Issue & Risk Tracking 

  • Maintain and triage the Smoke Tracker / issue log, categorizing new issues by severity and flagging pattern-level risks to the Directors. 
  • Exercise judgment on what needs escalation versus what can be resolved directly and document the reasoning. 

Qualifications 

  • Strong organizational skills with the ability to manage multiple priorities and execute reliably in a fast-paced environment. 
  • High attention to detail and commitment to accuracy, consistency, and follow-through. 
  • Clear and professional written and verbal communication skills, with the ability to engage effectively across stakeholders. 
  • Experience supporting operations, project coordination, administrative functions, or logistics. 
  • Sound judgment in identifying when to escalate risks, issues, or ambiguities, and doing so clearly and promptly. 
  • Comfort operating in a transparent, feedback-driven environment — proactively surfacing gaps and risks, and giving/receiving direct feedback. 
  • Proficient in Outlook; comfort working with tools such as, Excel, PowerPoint, SharePoint, Claude, and ChatGPT, with the ability to learn new systems quickly. 
  • Based in or able to work primarily from Connecticut, with flexibility to travel to NYC as needed. 
  • Interest in real estate or project management is a plus. 
  • 1-2 years of experience owning a project or workstream end to end, not solely supporting one, is strongly preferred. 

Compensation 

The wage range for this role is $100,000 - $140,000 inclusive of base salary and discretionary target bonus. The expected base salary for this role is between 80% - 90% of this wage range. 

Physical Requirements  

The anticipated onsite requirement for this role is four days per week at our Westport, CT office.
