Program Coordinator

The University of Miami/UHealth department of The Miami Project has an exciting opportunity for a Full Time Program Coordinator to work in Miami, FL. The Program Coordinator coordinates day-to-day operations of the program. Moreover, the incumbent assists with the development, organization, production, and evaluation of the program to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

  • Acts as a liaison to program constituents.

  • Assist with the preparation and/or delivery of program content.

  • Facilitates collaboration between different schools, community agencies, and/or academic support units throughout the University.

  • Coordinates the collection, compilation, and analysis of program activity data.

  • Drafts comprehensive, statistical, and/or narrative program reports and evaluations, and monitors program effectiveness, making suggestions for revisions when appropriate.

  • Coordinates the scheduling of program components.

  • Drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings.

  • Assists with the development and implementation of program marketing.

  • Provides assistance and support for participants and/or program constituents in all administrative aspects of the program and maintains files and/or program data.

  • Adheres to University and unit-level policies and procedures and safeguards University assets

Department Specific Functions

  • Maintain an in-person presence within The Miami Project to Cure Paralysis Office of Education and Outreach in the Christine E. Lynn Rehabilitation Center during business hours to coordinate scheduled visits and respond to unscheduled ("walk/roll-in") inquiries, serving as an accessible and welcoming point of contact for community members, research participants, families, and caregivers.

  • Serve as the initial point of contact and facilitator for individuals reaching The Miami Project through in-person, telephone, and email communication channels, providing information, facilitating referrals, and connecting community members with appropriate resources, services, and research opportunities through responsive and participant-centered communication.

  • Contact participants prior to scheduled visits to confirm appointments and provide visit instructions.

  • Maintain ongoing engagement with individuals enrolled in The Miami Project's recruitment contact registry through annual outreach efforts designed to verify contact information, assess continued interest, and support long-term relationships between community members and The Miami Project's research programs.

  • Collaborate with clinicians, scientists, and administrators within the Christine E. Lynn Rehabilitation Center to identify newly admitted spinal cord injury patients and coordinate protocol-approved outreach efforts that introduce individuals and families to available programs, services, and research opportunities. Conduct outreach in a manner that fosters trust, rapport, and understanding during a significant period of adjustment and rehabilitation.

  • Develop and maintain relationships with nonprofit organizations, governmental agencies, advocacy groups, and service providers that support people living with paralysis, serving as a bridge between community priorities and The Miami Project's outreach, education, recruitment, and research activities.

  • Maintain The Miami Project's participant recruitment database, facilitate new registrants, including participant tracking, database quality assurance, and development of study-specific recruitment lists to support ethical, effective, and participant-focused recruitment for approved human-subjects research and clinical trials.

  • Coordinate and represent The Miami Project at community outreach, educational, scientific, and disability-focused events, building authentic relationships with community stakeholders and communicating resources, services, and research opportunities in ways that are responsive to community experiences, priorities, and needs. Coordinate office operations, including facility requests, access requests, office supplies, participant materials, and linen inventory.

Core Qualifications

  • High School Diploma or equivalent/relevant experience, certification or license

  • Minimum 1 year of relevant experience required

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.

  • Ability to work evenings, nights, and weekends as necessary.

  • Ability to work independently and/or in a collaborative environment.

  • Proficiency in computer software (i.e. Microsoft Office).

Any relevant education, certifications and/or work experience may be considered.
