Procurement Operations Support Officer
The Procurement Operations team is seeking a highly organised and customer-focused Procurement Operations Support Officer to provide procurement and contract administration support across the Bank.
As a key member of the team, you will act as a first point of contact for procurement-related enquiries, providing guidance to stakeholders on procurement policies, procedures, systems and operational processes.
You will work across a broad range of procurement, contract management and reporting activities, helping to ensure the Bank's procurement practices are compliant, efficient and well governed.
What You'll Be Doing
- Provide effective operational, administrative, first and second level customer support for procurement and contract management systems.
- Act as a first point of contact for procurement-related enquiries, providing guidance to stakeholders on procurement policies, procedures, systems and operational requirements.
- Ensure that daily processing of procurement, contract management, fleet administration and other operational activities are completed accurately and in a timely manner.
- Provide business operations expertise and guidance to external and internal customers in relation to procurement, contract management and business processes.
- Support low-value, low-risk self-service procurement activities, including the use of AI-enabled tools to improve efficiency and service delivery.
- Monitor systems and liaise with stakeholders to facilitate the early detection and resolution of operational issues.
- Support the execution of contracts through DocuSign by reviewing supporting documentation, ensuring compliance with procurement policies, Commonwealth Procurement Rules, legal requirements and signing authorities, and delivering high-quality customer service to stakeholders.
- Maintain contract records within the Contract Management System, including monitoring contract expiries, establishing reminders and supporting contract renewals, extensions and variations.
- Produce regular contract management and expiry reports and work with stakeholders to ensure appropriate action is taken to maintain business continuity.
- Support procurement reporting obligations and the preparation of information required by other commonwealth agencies.
- Work collaboratively with Purchasing and business stakeholders to review and progress procurement requisitions in accordance with procurement policies and procedures.
- Support the administration of the Bank's fleet services, including monitoring shared mailboxes and liaising with external service providers.
- Ensure that activities comply with industry regulations and manage fraud and risk consistent with the Bank's policies.
- Assist with the planning, co-ordination, testing and verification of system changes and continuous improvement initiatives.
- Maintain appropriate contingency arrangements for systems, operations, customers, and stakeholders.
- Support the administration and maintenance of the Bank's Contract Management System, including system configuration, user support and data quality activities.
What you'll bring
- Ability to contribute to improving business processes and increasing efficiency and effectiveness.
- Basic level of experience resolving problems within service levels.
- Knowledge of procurement, contract management, governance and compliance processes, or the ability to rapidly acquire this knowledge.
- Training or experience in transactional processing, working to procedures and separation of duties concepts.
- Demonstrates strong personal resilience and maintains a positive, professional approach when working in a fast-paced environment with competing priorities and changing demands.
- Basic knowledge of customer support principles and processes, with a strong commitment to stakeholder service.
- Ability to review documentation and assess compliance with policies, procedures and operational requirements.
- Experience working with AI tools and business or procurement systems to support operational activities, improve business processes and enhance efficiency.
- Strong attention to detail, organisational skills and the ability to manage multiple tasks simultaneously.
- Ability to identify, manage and escalate operational, compliance and risk-related issues appropriately.
- Experience using Microsoft Office applications and business systems; experience with procurement, contract management or workflow systems is desirable.
