Your Role Supporting Newport Brass
The People Operations Coordinator supports a strategic People Operations department by coordinating key employee lifecycle processes across two sites. This role partners closely with People Operations leadership, site leaders, employees, and cross-functional teams to support recruiting, onboarding, offboarding, employee records, People Operations communications, and day-to-day employee inquiries. The People Operations Coordinator helps ensure people processes are completed accurately, consistently, and timely while providing a positive employee experience and supporting the department’s broader people and business priorities.
ESSENTIAL DUTIES AND RESPONSIBLITIES
- Support recruiting activities, including job posting coordination, candidate communication, interview scheduling, offer coordination, background check follow-up, and applicant tracking updates.
- Coordinate onboarding activities for new hires across two sites, including new hire communication, orientation scheduling, onboarding documentation, system updates, and coordination with hiring managers and support teams.
- Support offboarding processes, including separation documentation, exit coordination, final checklist completion, system updates, and communication with appropriate internal partners.
- Serve as a point of contact for employee questions and People Operations-related inquiries, escalating matters to the People Operations Manager or appropriate people partner when needed.
- Maintain accurate employee records in both digital and hard copy formats, ensuring documentation is organized, confidential, and compliant with company requirements.
- Assist with HRIS data entry, employee changes, reporting, tracking, and audit preparation to support data accuracy and HR decision-making.
- Partner with People Operations leadership to support employee engagement activities, People Operations communications, site events, and initiatives that align with the department’s people strategy.
- Coordinate meetings, interviews, orientations, trainings, and HR events across two sites while ensuring clear communication with employees, managers, and cross-functional partners.
- Assist with compliance-related administrative support, including filing, tracking, record retention, and preparation of employee documentation.
- Support People Operations projects, process improvements, and administrative priorities that improve consistency, efficiency, and employee experience across the sites.
- Perform other duties as required.
MINIMUM REQUIRED QUALIFICATIONS
- Educations and/or Experience
- Bachelor’s degree in Human Resources, Business Administration, Psychology, Organizational Development, or a related field is required.
- 0-2 years of experience supporting People Operations (HR), recruiting coordination, onboarding, employee records, HR internship experience, or related administrative people processes is required.
SKILLS, KNOWLEDGE, AND ABILITIES
- Ability to maintain a high level of confidentiality and handle sensitive employee information with discretion.
- Working knowledge of People Operations processes, employment practices, and applicable labor and employment regulations.
- Strong attention to detail with the ability to maintain accurate records, reports, and tracking tools.
- Ability to manage multiple priorities, meet deadlines, and coordinate work across two sites.
- Strong communication and customer service skills with the ability to interact professionally with employees, managers, candidates, and external partners.
- Ability to work independently while collaborating effectively within a strategic People Operations team.
- Strong organizational, follow-up, and problem-solving skills.
- Ability to support People Operations projects, process improvements, and employee experience initiatives.
- Project coordination experience is a plus.
PHYSICAL DEMANDS
While performing the duties of this job, the employee uses his/her hands to finger, handle or feel objects, tools or controls; reach with hands and arms; talk or hear. This is a largely sedentary role; however, standing and walking up and down stairs will be required. The employee will occasionally be required to complete some filing. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Individuals may need to sit or stand as needed. This position may require reaching above shoulder heights or below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques are required. This position may occasionally lift up to 20 pounds for files and computer printouts.
WORK ENVIRONMENT
While performing the duties of this job, the employee will work in an office environment or enclosed office space; and can be exposed to a warehouse environment on a frequent basis. The ambient conditions are moderate, and the noise level in the work environment is moderate. Artificial lighting and air conditioning is found within the environment.
