About the Job:

The Patient Service Representative serves as the first point of contact for patients and visitors, providing clerical and administrative support for front desk operations. This role is responsible for patient registration, appointment scheduling, referral management, phone support, documentation processing, and delivering exceptional customer service in a fast-paced healthcare environment.

What You’ll Do:

• Greet, direct, register, check in, and check out patients in a professional and welcoming manner.
• Answer incoming telephone calls, provide information, and schedule patient appointments.
• Enter, track, and manage referrals, including obtaining necessary authorizations.
• Collect, verify, and update patient demographic and insurance information.
• Process registration forms, consent documentation, and medical records accurately.
• Collect and reconcile patient copayments and maintain accurate daily balancing records.
• Scan, index, and maintain patient documentation.
• Assist with insurance requirements and communicate information appropriately to patients.
• Coordinate interpreter services when needed.
• Maintain compliance with organizational policies, confidentiality standards, and HIPAA requirements.
• Stay current with system updates and workflow changes, including EPIC enhancements.
• Participate in process improvement initiatives and identify potential safety concerns.
• Communicate effectively with patients, families, providers, and colleagues.
• Provide administrative support and coverage for other staff as needed.
• Attend required training, meetings, and educational programs.

Who You Are / Requirements:

• High School Diploma or equivalent required.
• Previous customer service experience preferred.
• Knowledge of reception functions, clinic procedures, and administrative workflows.
• Understanding of medical terminology preferred.
• Proficiency with Microsoft Office applications and basic computer skills.
• Strong organizational, time management, and multitasking abilities.
• Ability to work independently and collaboratively within a team environment.
• Excellent verbal and written communication skills.
• Ability to maintain professional relationships with patients, providers, and coworkers.
• Customer-focused with a caring and compassionate approach to service.
• Ability to adapt to changing priorities and support multiple office functions as needed.
• Strong attention to detail and accuracy when managing patient information and documentation.
