Position Purpose:
The Patient & Surgical Coordinator is a key member of the practice team responsible for creating a positive patient experience while managing a high volume of patient interactions, phone calls, scheduling, and front-office responsibilities. This role also supports the coordination and scheduling of surgical procedures based on the surgeon's recommendations.
The ideal candidate is upbeat, friendly, highly organized, and comfortable managing multiple priorities in a fast-paced environment. Previous dental, medical, or treatment coordination experience is beneficial; however, we are willing to train the right candidate who demonstrates strong customer service skills, attention to detail, and a willingness to learn.
Essential Functions
Patient Coordination & Customer Service
- Greet and assist patients with check-in and check-out.
- Manage a high volume of incoming and outgoing patient calls in a friendly and professional manner.
- Schedule and confirm consultations, procedures, postoperative visits, and follow-up appointments.
- Monitor provider schedules, cancellations, and appointment availability to support efficient patient flow.
- Respond to general patient questions regarding appointments, practice processes, and next steps.
- Maintain accurate patient information within the practice management system.
- Coordinate referrals, imaging, and required patient documentation.
- Provide a welcoming and supportive experience for patients and their families
Surgical Scheduling & Coordination
- Schedule surgical procedures based on treatment recommendations established by the surgeon.
- Review scheduling requirements and next steps with patients following their consultation.
- Coordinate procedure dates and required follow-up appointments.
- Ensure necessary documentation and pre-surgical requirements are completed or appropriately coordinated.
- Follow up with patients who have not scheduled recommended procedures and assist with scheduling-related barriers.
Insurance & Payment Support
- Develop a working knowledge of basic insurance terminology, including co-pays, deductibles, and patient responsibility.
- Assist with insurance verification and prior authorization processes as trained.
- Communicate established patient financial responsibilities and collect applicable payments.
- Escalate complex insurance questions and financial consultations to the appropriate team member.
Communication & Coordination
- Serve as a liaison between patients, surgeons, clinical staff, and front-office team members.
- Communicate clearly and professionally with patients regarding appointments, surgical scheduling, and next steps.
- Collaborate with clinical team members to ensure scheduling and patient care needs are appropriately coordinated.
- Communicate scheduling changes, patient concerns, or special circumstances to the appropriate team member.
- Address patient questions and concerns with empathy and professionalism, escalating clinical or complex matters when appropriate.
- Support effective communication across the practice to promote continuity of care and efficient patient experience.
Compliance & Confidentiality
- Adhere to applicable healthcare regulations, privacy laws, practice policies, and HIPAA requirements.
- Maintain patient confidentiality and securely handle sensitive health, financial, and personal information.
- Accurately document patient communications, scheduling activity, and payments within practice systems.
- Follow established procedures for patient identification, documentation, insurance information, and financial transactions.
- Promptly escalate privacy, compliance, documentation, or patient safety concerns to the appropriate leader.
Qualifications
Education:
- High school diploma or equivalency, required.
Experience
- 1-2 years of previous customer service in administration within a healthcare, dental, or patient-facing experience required.
- Patient coordination, scheduling, or treatment coordination experience is a plus but not required.
- Experience working in a high-volume environment preferred.
- Experience with EHR, dental, or medical practice management systems is beneficial.
- Willingness and ability to learn surgical scheduling, insurance processes, and practice workflows required.
