Who are we hiring?
The Office Manager will provide administrative, operational, and project support to the Sphere Entertainment’s Development & Construction team for the Sphere National Harbor project.
This is an exciting opportunity to join the team at the start of the project and play an important role in establishing and organizing the new National Harbor office. The Office Manager will help ensure the smooth day-to-day operations of the project team by supporting scheduling, meetings, documentation, travel, events, office operations, and other administrative activities.
What will you do?
- Assist with the setup and organization of the new National Harbor office as the project gets underway.
- Provide administrative and operational support to the Development & Construction project team.
- Manage calendars and coordinate meetings, including room bookings, invitations, presentation materials, and supporting documentation.
- Arrange travel, accommodations, and detailed itineraries.
- Process expense claims and assist with administrative tracking.
- Support project administration, including document management, reporting, recordkeeping, and project tracking.
- Assist with new vendor setup and purchasing processes as needed.
- Coordinate the collection, preparation, and maintenance of project reports, presentations, and other documentation.
- Maintain organized electronic and physical filing systems, spreadsheets, and tracking tools.
- Support day-to-day office operations, including office supplies, equipment, facilities, and IT coordination.
- Assist the team with other administrative tasks and projects as assigned.
- Provide exceptional experiences for our guests, partners, and team members, including by adhering to our appearance and presentation guidelines while on-site.
What do you need to succeed?
- 5+ years of relevant experience.
- Excellent verbal and written communication skills, with the ability to interact effectively with all levels of management.
- Experience working in a fast-paced project or construction environment.
- Exceptional organizational skills and strong attention to detail.
- Ability to prioritize, multitask, and manage multiple administrative responsibilities simultaneously.
- Strong project administration and coordination skills.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Ability to handle confidential and sensitive information with professionalism and discretion.
