We are looking for a detail-oriented and proactive Logistics & Shipping Coordinator to manage inbound and outbound logistics activities for assigned projects supporting international measurement, metering, and analytical solutions across the Middle East and Africa region.
The role requires strong coordination across suppliers, freight forwarders, customers, project managers, procurement teams, trade compliance, and internal stakeholders to ensure materials are shipped accurately, compliantly, and on schedule. The ideal candidate will demonstrate strong ownership, communication, attention to detail, and the ability to manage multiple logistics activities simultaneously.
Requirements
Key Responsibilities
- Manage inbound and outbound logistics activities for assigned projects and international shipments.
- Review shipping and logistics documents to ensure accurate information, including item descriptions, quantities, HS codes, country of origin, net/gross weight, and package details.
- Coordinate with suppliers to obtain complete and accurate shipping documentation before dispatch.
- Determine appropriate modes of transportation in coordination with Project Management and Procurement teams.
- Coordinate the appointment of freight forwarders, couriers, and logistics service providers for air, sea, and other shipments.
- Coordinate project cargo requirements for over-dimensional or specialised shipments.
- Work closely with Trade Compliance teams to ensure shipments use the appropriate HS codes and customs classifications.
- Coordinate customs-related documentation and processes for incoming and outgoing materials.
- Support required attestations, duty-exemption documentation, and free-issue material requirements.
- Track subcomponent deliveries and proactively follow up with suppliers and procurement teams to expedite delayed materials.
- Coordinate closely with shippers, consignees, freight forwarders, suppliers, customers, and internal stakeholders to ensure timely delivery.
- Ensure shipments are executed in accordance with agreed Incoterms and delivery commitments.
- Monitor shipment status and proactively identify potential delays, risks, or documentation gaps.
- Maintain accurate logistics records, databases, shipment trackers, and documentation.
- Prepare regular logistics and shipment-status reports for project and management teams.
- Ensure compliance with applicable local, national, and international transportation and trade regulations.
- Follow established trade compliance procedures and internal logistics processes across all transactions.
- Support additional logistics and project coordination activities as required.
What Makes You a Great Fit
- 3+ years of experience in logistics, shipping, freight forwarding, supply chain coordination, or international project logistics.
- Strong experience managing inbound and outbound international shipments.
- Good understanding of shipping documentation, freight processes, customs requirements, and international transportation.
- Experience coordinating with suppliers, freight forwarders, couriers, customers, procurement teams, and project managers.
- Working knowledge of HS codes, Incoterms, customs documentation, and trade compliance requirements.
- Experience handling air and sea shipments, including project cargo or over-dimensional shipments, would be an advantage.
- Strong attention to detail when reviewing shipping, packaging, and commercial documentation.
- Excellent coordination, communication, follow-up, and stakeholder-management skills.
- Strong organisational skills with the ability to manage multiple shipments, deadlines, and priorities.
- Proactive approach to identifying shipment risks and resolving logistics issues before they impact delivery schedules.
- Strong ownership mindset with a commitment to timely and accurate execution.
- Ability to work effectively with geographically distributed teams and stakeholders.
- Good analytical and problem-solving abilities.
