About the Company & Role
Our client is an established Australian business specializing in commercial joinery, delivering quality joinery solutions for commercial projects and working closely with clients, suppliers, and other project stakeholders. The company operates in a fast-paced, project-based environment where accuracy, organization, and strong coordination are essential to successful project delivery. We are seeking an Admin Assistant to provide administrative and financial support across the company's day-to-day operations and commercial joinery projects. The successful candidate will be responsible for maintaining documentation, processing invoices and purchase orders, supporting supplier administration, and keeping project records accurate and organized. Xero experience is essential, while previous experience in commercial joinery, construction, building, or a related trades environment is highly preferred.
Key Responsibilities
Loan Application Preparation and Broker Support
- Review broker appointment notes, lending strategies, and handover information to ensure all required details are complete.
- Prepare clear lending submission notes, application inputs, and supporting documentation.
- Enter and maintain accurate client, financial, and loan information in the CRM and lending platforms.
- Support with servicing inputs, product comparisons, pricing, and valuation research within the scope of the role.
- Ensure loan files are complete, accurate, logical, and ready for submission.
Document Review and Credit Support
- Review bank statements, income documents, liabilities, and other financial information for completeness, consistency, and potential concerns.
- Identify lending risks or missing information and escalate these to the appropriate broker.
- Order and review credit reports and flag relevant concerns, including undisclosed liabilities or repayment issues.
- Develop and apply knowledge of lender policies, credit requirements, and compliance standards.
- Follow up with clients for outstanding or updated documentation.
Application Submission and Lender Management
- Package and submit complete loan applications with the required supporting documentation.
- Track applications from submission through assessment, approval, documentation, and settlement.
- Respond to lender requests and conditions promptly.
- Coordinate with clients, brokers, lenders, Business Development Managers, and other relevant stakeholders.
- Identify potential delays or risks early and proactively recommend or escalate next steps.
Client Communication and File Management
- Provide proactive, warm, and professional updates to clients throughout the application process.
- Clearly communicate outstanding requirements, next steps, and relevant timeframes.
- Answer client queries within the scope of the role and refer lending advice or credit decisions to the broker when required.
- Maintain accurate CRM notes, tasks, statuses, timelines, and lender milestones.
- Ensure every active file has a clear next action and appropriate follow-up.
Compliance and Team Contribution
- Maintain accurate, complete, and compliant loan files in line with internal processes and lending requirements.
- Ensure documents are correctly named, stored, and easily accessible.
- Handle confidential client information securely and professionally.
- Participate in training, team meetings, file reviews, and process improvement initiatives.
- Identify recurring bottlenecks and contribute practical ideas to improve efficiency, accuracy, and client experience.
- Support other team members during busy periods and contribute to a collaborative, accountable team environment.

Requirements
Required / Essential Qualifications
- Previous experience in lending support, mortgage broking, banking, credit, financial services, or a similar administrative role.
- Strong ability to review financial documents, including bank statements, income information, liabilities, and supporting lending documentation.
- Excellent written and verbal communication skills with the ability to communicate professionally with clients and stakeholders.
- High attention to detail and accuracy when managing financial information, applications, and documentation.
- Strong organisational and time management skills with the ability to manage multiple files and priorities simultaneously.
- Proactive and solution-focused mindset with the ability to identify issues before they result in delays.
- Comfortable working with numbers, financial information, and lending-related documentation.
- Ability to learn and apply lender policies, credit requirements, compliance standards, and internal procedures.

Preferred Qualifications
- Previous Australian mortgage, lending, or mortgage broking experience.
- Experience supporting loan applications from preparation through to settlement.
- Familiarity with reviewing credit reports and identifying potential lending concerns or documentation gaps.
- Experience using mortgage, CRM, document collection, or loan application systems.
- Working knowledge of Australian lender policies and credit requirements.
