Position Overview:
Reporting to the Senior Vice President of Human Resources, the Human Resources Operations Coordinator supports the effective operation of the Human Resources Department across all HR pillars, including Total Rewards, Diversity, Inclusion & Learning, Talent Acquisition, and HR Business Partners.
This role is responsible for coordinating the department’s administrative and compliance operations, maintaining accurate employee and organizational data, supporting HR systems and reporting, and managing key processes throughout the employee lifecycle. The HR Operations Coordinator serves as a central resource for the HR team and helps ensure that department processes, records, policies, reports, and communications are accurate, timely, organized, and consistently maintained.
The ideal candidate is highly detail-oriented, comfortable working with data and multiple HR systems, and able to manage competing priorities with strong follow-through. This individual should be able to create templates and tracking tools, run reports, identify trends, document standard operating procedures, and recommend practical improvements to HR processes.
Essential Duties and Responsibilities:
- Provide operational support across all Human Resources functions, including Total Rewards, Talent Acquisition, Diversity, Inclusion & Learning, and HR Business Partners.
- Manage HR administrative and compliance operations, ensuring employee records, documentation, regulatory filings, and departmental processes are maintained accurately and completed on time.
- Coordinate the full employee lifecycle, including onboarding, employment changes, and offboarding activities, while managing all associated documentation, system transactions, and communications.
- Administer HR systems and data, maintaining the accuracy and integrity of employee level, position, and organizational information across platforms.
- Develop and maintain HR reports, dashboards, templates, trackers; compile workforce data to identify trends and support operational decision-making.
- Manage company-wide organizational charts and ensure reporting relationships, position data, vacancies, and organizational changes are accurately reflected and maintained.
- Coordinate recruitment operations, including interview scheduling, applicant tracking system administration, and new hire onboarding logistics.
- Support payroll administration by processing employee transactions, maintaining payroll-related records, preparing payroll documentation, conducting audits, and partnering with the Total Rewards team to ensure timely and accurate payroll processing.
- Maintain HR policies, procedures, procurement and standard operating procedures, including policy updates and compliance tracking, compliance communications, and audit documentation support.
- Support employee programs, recognition initiatives, learning and development activities, and special projects while identifying opportunities to improve processes, efficiency, and service delivery.
Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Minimum of 1 year of experience in Human Resources operations, HR administration, HR systems, workforce data/reporting, or a related administrative or analytical role.
- Experience or coursework in analytics is strongly preferred.
- Strong analytical and problem-solving skills with the ability to gather, analyze, interpret, and present data.
- Experience creating reports, dashboards, spreadsheets, trackers, and process documentation; proficiency in Excel required.
- Experience working with HRIS, applicant tracking systems, or other business systems; ADP Workforce Now and Greenhouse preferred.
- Exceptional attention to detail, organizational skills, and follow-through.
- Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and confidentiality.
- Strong written and verbal communication skills with a customer-service mindset.
- New York City residency is required within 180 days of hire.
