Job purpose : Responsible for  Operation and Maintenance of Utility Equipment’s in maintenance dept. and good knowledge on critical spare parts management.

Main Accountabilities :

Responsibilities

·       Develop, implement and manage soft facility management services across the manufacturing plant, offices and associated facilities.

·       Ensure all soft services are delivered in accordance with agreed Service Level Agreements (SLAs), Key Performance Indicators (KPIs), statutory requirements and company standards.

·       Manage and coordinate all soft services including Housekeeping, Security, Landscaping, Waste Management, Pest Control, Food & Canteen Services, Creche, Gym and Staff Transportation.

·       Ensure a clean, safe, hygienic and well-maintained environment across the manufacturing plant, office areas, common areas and external premises.

·       Act as the primary point of contact for the client/user departments for all soft service-related matters.

·       Plan, coordinate and monitor manpower deployment, attendance, shift rosters, productivity and performance of all soft service teams.

·       Manage service partners and contractors, ensuring compliance with contractual requirements, agreed manpower, scope of work, SLAs and KPIs.

·       Conduct regular inspections of facilities and services, identify gaps and ensure timely corrective and preventive actions.

·       Establish and maintain service standards, checklists, SOPs and work instructions for all soft services.

·       Ensure effective coordination between soft service teams and other facility functions including Technical, EHS, Security, Projects, Procurement, HR and Finance.

·       Drive initiatives for continuous improvement in service quality, operational efficiency, employee experience and cost optimization.

·       Monitor service-related complaints and requests and ensure timely resolution with proper escalation where required.

·       Prepare and submit regular MIS, performance reports, manpower reports, incident reports and other management reports as required.

·       Ensure proper documentation and maintenance of all service records, inspection reports, attendance records, training records, licenses, certificates and statutory documents.

·       Ensure compliance with all applicable company policies, statutory requirements, Labour laws, health and hygiene standards and client requirements.

·       Manage service audits and inspections, identify non-conformities and coordinate closure of observations within agreed timelines.

·       Support budget preparation and monitor operating expenditure for all soft services against approved budgets.

·       Identify opportunities for cost optimization without compromising service quality, safety, hygiene or employee experience.

·       Conduct regular review meetings with service partners and monitor performance against agreed KPIs.

·       Manage escalation of service issues and ensure effective communication with stakeholders.

Housekeeping & Hygiene :

·       Manage housekeeping services across plant areas, offices, common areas, washrooms, cafeteria, recreational areas and external areas.

·       Establish and monitor housekeeping standards, cleaning schedules, hygiene protocols and quality inspection systems.

·       Ensure adequate manpower, equipment, cleaning materials and consumables are available.

·       Conduct regular hygiene and cleanliness audits and ensure timely corrective action.

·       Ensure appropriate cleaning practices for a clean room manufacturing environment, including segregation of areas based on hygiene and operational requirements.

·       Monitor washroom hygiene, consumables, deep cleaning, periodic cleaning and pest-related issues.

Security Services :

·       Manage outsourced security services and ensure effective deployment of security personnel across the plant and associated facilities.

·       Monitor access control, visitor management, vehicle movement, material movement, gate operations and security protocols.

·       Ensure security personnel are properly trained, groomed and deployed as per approved deployment plans.

·       Coordinate with the client's security/administration team on security-related matters.

·       Ensure security incidents, breaches and observations are reported, investigated and appropriately closed.

Landscaping & External Area Management :

·       Manage landscaping and horticulture services for the plant, office and external areas.

·       Ensure proper maintenance of lawns, plants, trees, gardens and other landscaped areas.

·       Monitor irrigation, pruning, fertilization, plantation and seasonal maintenance activities.

·       Ensure external areas, roads, pathways, parking areas and common spaces are maintained in a clean and presentable condition.

·       Drive water-efficient and sustainable landscaping practices wherever feasible.

Waste Management :

·       Manage complete waste management operations including collection, segregation, storage, transportation and disposal.

·       Ensure appropriate segregation of recyclable, organic, general and other categories of waste as applicable.

·       Ensure compliance with applicable environmental and waste management regulations.

·       Coordinate with authorized waste collection and disposal agencies.

·       Maintain required records, manifests, certificates and other statutory documentation.

·       Drive initiatives to reduce waste generation, improve segregation and increase recycling/recovery.

Pest Control :

·       Manage comprehensive pest control services across the plant, offices, cafeteria, canteen and external areas.

·       Ensure preventive pest control schedules are implemented and monitored.

·       Review pest activity trends and ensure appropriate corrective measures.

·       Ensure use of approved chemicals and safe pest control practices.

·       Maintain treatment records, reports and statutory documentation.

Food, Canteen & Cafeteria Management :

·       Manage outsourced food, canteen and cafeteria operations to ensure quality, hygiene, safety and service standards.

·       Monitor food quality, hygiene, menu, pricing, service levels and customer satisfaction.

·       Ensure compliance with applicable food safety and hygiene requirements.

·       Conduct regular inspections of kitchen, food preparation, storage, serving and dining areas.

·       Monitor vendor manpower, equipment, consumables and service performance.

·       Coordinate with EHS/Quality teams on food safety, hygiene and statutory requirements.

·       Review feedback from employees and drive improvements in food quality and service.

Creche & Gym Management :

·       Manage operations of the employee creche and gym facilities, ensuring service quality, cleanliness, hygiene, safety and user experience.

·       Ensure appropriate staffing, operating schedules, housekeeping and maintenance coordination.

·       Ensure applicable licenses, certifications, records and statutory requirements are maintained.

·       Monitor user feedback and service utilization and recommend improvements.

·       Ensure appropriate safety and emergency arrangements are in place.

Staff Transportation :

·       Manage outsourced staff transportation services including buses, cabs and other employee transportation arrangements.

·       Monitor route planning, schedules, vehicle deployment, punctuality and service quality.

·       Ensure transport vendors comply with agreed contractual, safety and statutory requirements.

·       Monitor driver conduct, vehicle documentation, permits, insurance and fitness requirements.

·       Review transportation-related complaints and ensure timely resolution.

·       Coordinate with HR and employees on transportation requirements and service improvements.

Quality, Compliance & Customer Service :

·       Establish service quality standards and monitor performance through regular inspections, audits and KPI reviews.

·       Conduct periodic audits of all soft services and ensure closure of observations.

·       Develop and maintain SOPs, checklists and service standards for all soft service functions.

·       Maintain a strong focus on employee experience, responsiveness and customer satisfaction.

·       Ensure all service providers comply with applicable Labour laws, statutory requirements and company policies.

·       Coordinate with EHS and other relevant functions to ensure that soft service operations comply with site safety and environmental requirements.

·       Promote a culture of cleanliness, hygiene, discipline, service excellence and continuous improvement.

Vendor & Contract Management :

·       Manage all soft service contractors and ensure delivery in accordance with contractual scope.

·       Review manpower deployment, attendance, productivity, consumables and service performance.

·       Conduct monthly performance reviews with service partners.

·       Validate service reports, manpower deployment and performance before certification of invoices.

·       Identify service gaps, initiate corrective actions and recommend contractual remedies where required.

·       Support procurement and contract renewal activities, including scope definition, manpower assessment and performance evaluation.

Education / Qualifications, Experience & Skills :

·       Graduate in any discipline. A degree/diploma in Facility Management, Business Administration or related discipline is an advantage.

·       Professional certification in Facility Management, Hospitality or relevant soft services will be an advantage.

·       Experience in manufacturing/industrial facility is mandatory.

·       Minimum 14–15 years of total experience, with significant experience in managing integrated soft services.

·       Minimum 5 years of experience in managing soft services in a large manufacturing plant, industrial facility, technology campus or similar large-scale facility.

·       Proven experience in managing multiple outsourced service partners and large manpower teams.

·       Experience in managing Housekeeping, Security, Landscaping, Waste Management, Pest Control, Food/Canteen, Creche, Gym and Staff Transportation.
