What this opportunity involves:
This Facilities Coordinator role supports the delivery of FM services across owned and leased properties, working closely with centralised teams, vendors, and service providers. You'll coordinate day-to-day FM activities using Corrigo CMMS, manage contractor performance escalations, and ensure timely resolution of site issues with minimal business disruption.
The position involves administrative support including processing Change Direct Notices for property transitions, validating assets and compliance documentation, and preparing reports on service delivery. You'll support the implementation of Preventative Maintenance and Asset Management Plans (PAMP), manage landlord communications, and maintain compliance records aligned with contractual obligations. Strong relationship-building skills are essential as you'll collaborate with Property Service Centre teams, FM Vendor Managers, Regional FM teams, Facilities Managers, contractors, and suppliers. The role requires adherence to WHS, environmental, and risk management policies while developing proficiency in JLL's various technology platforms and systems.
Key Responsibilities include:
- Deliver superior service measured through compliance to contractual key performance indicators.
- Provide superior service measured through Entities feedback.
- Ensure activities assigned are being achieved per the required timeline with any gaps documented through an agreed management plan.
- Role model behaviour, consistent with cultural and ethical requirements of the Company.
- Manage all assigned tasks effectively, evidenced through feedback from key stakeholders.
- Enhance and grow one’s own professional and personal skills.
- Contributes towards the growth of the company and meeting assigned targets.
- Support the management of service delivery to meet contractual obligations of JLL within the Facilities Management Contract Remit.
- Build and maintain strong working relationships with key stakeholders such as key Facilities Managers, Property Managers, Vendors, and internal teams.
- Ensure all Conflicts of Interest (COI) are effectively managed in accordance with the client endorsed JLL COI Management processes (whether perceived, potential or actual). This includes prompt notification to client in writing of any conflicts that arise (or are likely to arise), making full disclosure of all relevant information relating to the conflict and outlining activities proposed to resolve or otherwise deal with the conflict.

- Minimum 1-2 year’s experience in property related role
- Preferred Tertiary qualification in Property/Real Estate or equivalent.
- Current Real Estate Certificate of Registration.
- Ability to obtain and hold an AGSVA Clearance and or any additional associated Entity clearances.
