What you will have an opportunity to do:

BASIC FUNCTION: The Facilities Coordinator will organize all administrative functions and tasks associated with the operation of the Facilities division.  This position has a significant role in managing the financial responsibilities of the department including purchase order tracking, checkbook management, invoice management, and month end closing. Responsible for tracking and reporting for several important department programs such as guest comment responses and tracking and guestroom preventative maintenance tracking.

• This is a full-time position. 

• $20 per hour.

• Location:  Benchmark Hospitality at Deloitte University. 

ESSENTIAL FUNCTIONS:

• Manage and reconcile the Facilities department checkbook, ensuring transactions and balances are accurate and current.

• Create, track, maintain, and close purchase orders for parts, supplies, equipment, and services.

• Review, code, route, and track invoices through the appropriate approval and payment process.

• Match purchase orders, receiving documentation, invoices, and payments; research and resolve discrepancies.

• Monitor open purchase orders, outstanding invoices, department commitments, and available funds.

• Maintain accurate records of purchase orders, invoices, receipts, approvals, and other supporting documentation.

• Set up new vendors and coordinate vendor access to the property through the visitor system.

• Prepare department reports and maintain tracking for programs such as guest comment responses and guestroom preventive maintenance.

• Support Facilities managers with administrative tasks, reporting, scheduling, and other departmental needs.

What are we looking for?

QUALIFICATIONS:

• Minimum of 3 years accounts payable or similar experience required.  Additional purchasing and administrative experience preferred.

• Proficient in Microsoft Excel, Word, and Outlook; experience with Microsoft Teams and procurement systems preferred.  Craftable procurement system desired.

• Strong attention to detail with the ability to reconcile records, identify discrepancies, and manage competing priorities.

• Hotel Facilities/Maintenance experience preferred.
