Sobre esta vaga de Executive Operations Coordinator to the President na Onni Group

Onni Group · Presencial · Vancouver

Job Description:

Onni Group is seeking an exceptional Executive Operations Coordinator to the President to work directly alongside the President of Onni Group of Companies.

This is not a traditional Executive Assistant or administrative support position.

While the role includes responsibility for the President’s complex calendar and business, personal and family travel coordination, the primary purpose of the position is much broader: help the President get things done.

The Executive Operations Coordinator will act as a central point of coordination for the President—managing priorities, following up on requests, working with executives and different Onni businesses, solving problems and ensuring matters are carried through to completion.

Some requests will be straightforward. Others may be unusual, urgent or have no obvious solution. The successful candidate will not wait for detailed instructions. They investigate, make calls, find the right people, develop alternatives, use technology and AI, overcome obstacles and ultimately figure out how to make things happen.

Why Join Us?

This is an opportunity to become part of one of North America’s leading real estate organizations and work directly alongside its President in a highly visible and trusted position.

We are much more than a traditional real estate company. We are a forward-thinking, entrepreneurial and diversified organization with extensive operations and investments across real estate development, construction, property management, hospitality and other business ventures throughout Canada and the United States.

For the right person, this position offers exposure that goes far beyond traditional executive administration. You will work closely with the President and gain firsthand exposure to executive decision-making, major real estate projects, business initiatives, investments and the operation of a large and diversified organization.

You will be trusted with significant responsibility and have the opportunity to become an integral part of the President's office. If you are ambitious, exceptionally capable and energized by working close to where important decisions are made and things happen, this is an opportunity to build a rewarding long-term career within a successful and growing organization.

Perks & Benefits

  • Competitive compensation and comprehensive benefits package
  • Company-paid extended health care, dental care, vision care, life insurance and critical illness coverage
  • Annual education allowance
  • Generous referral program
  • Fun and collaborative company culture with regular team-building events
  • Local discounts at restaurants, clothing stores, personal training and more
  • Complimentary access to a fully equipped gym
  • Friends & Family rates across hospitality brands

What You Will Do

  • Manage the President's complex and frequently changing calendar, coordinating meetings, priorities and commitments across senior executives, internal teams and external stakeholders.
  • Coordinate business, personal and family travel, including transportation, accommodations, itineraries, reservations and last-minute changes.
  • Receive requests from the President and take ownership of driving them through to completion, independently or by coordinating with executives, business leaders and teams across Onni Group.
  • Act as a central point of coordination between the President and Onni business units; obtain information, follow up on commitments, resolve issues and maintain momentum until matters are completed.
  • Anticipate requirements, identify next steps and remain several steps ahead rather than waiting for repeated direction or reminders.
  • Handle unusual, urgent or ambiguous requests by researching options, making calls, finding the right resources and developing alternative solutions when the obvious approach is unavailable.
  • Use sound judgment to determine what can be handled independently and what requires the President's involvement or decision.
  • Navigate obstacles, competing priorities and challenging situations with persistence, professionalism and discretion while remaining focused on achieving the required outcome.
  • Use AI platforms and modern productivity technology at an expert level to accelerate research, communication, planning, organization, problem solving and execution.
  • Identify opportunities to automate or streamline recurring work and executive-office processes using AI and technology.
  • Coordinate confidential business and personal matters with a high degree of discretion and judgment.
  • Travel as required and assist with special projects or assignments that may fall outside a conventional administrative role.

What You Bring

  • Demonstrated experience supporting a President, CEO, entrepreneur, senior executive or similarly demanding principal in a role requiring significant independent execution and coordination.
  • Exceptional resourcefulness and demonstrated ability to solve difficult or unexpected problems independently
  • Naturally proactive, solutions-oriented and comfortable acting without step-by-step instructions.
  • Exceptional initiative, accountability and ownership; once responsible for something, sees it through to completion.
  • Strong ability to think outside the box and identify alternative solutions when the obvious approach is unavailable.
  • Genuine go-getter mentality with the persistence, resilience and determination to make things happen.
  • Strong judgment and confidence determining what can be handled independently and what requires executive involvement.
  • Ability to anticipate requirements and remain several steps ahead.
  • Exceptional organizational and time-management skills with the ability to manage multiple competing priorities and rapid changes.
  • Calm, composed and effective under pressure, with the resilience and thick skin required to navigate challenging situations and personalities professionally.
  • Exceptional follow-through and commitment to completing assignments accurately and on time.
  • Excellent written and verbal communication skills; positive, professional, personable and confident with people at all levels.
  • Expert-level capability using AI platforms and strong proficiency with modern productivity technology.
  • Ability and willingness to travel as required.
  • Valid driver's license and ability to use a personal vehicle as required.

The Person We're Looking For

When presented with a challenge, your first instinct is to find a solution.

You don't stop at “I couldn't get it done.” You come back with: “Here's what I've already tried, here are our options, and here's what I recommend we do next.”

You are naturally curious, persistent and resourceful. If you don't know the answer, you know how to find it. If the first approach doesn't work, you try another. You are comfortable operating with limited direction and have the judgment to move things forward independently.

You notice things that need attention before someone has to point them out. You follow up without being reminded. You close loops. You take responsibility for outcomes rather than simply completing individual tasks.

Most importantly, you are a doer. Whether the request involves an executive meeting, an important document, a travel disruption, a confidential business matter, a household issue or an unexpected last-minute challenge, your approach remains the same:

Understand what needs to happen. Take ownership. Find the solution. Get it done.
