What this opportunity involves:
As a Curation / Mailroom Coordinator at JLL, you'll be at the heart of creating exceptional employee experiences across our client's corporate offices. This role combines hands-on administration and logistics support with a focus on delivering memorable face-to-face interactions. Working closely with the Workplace Lead, you'll manage the complete spectrum of workplace services—from mailroom operations and event coordination to visitor management and facility support. You'll build meaningful relationships with stakeholders across all departments, respond thoughtfully to feedback, and ensure our office environments remain safe, welcoming, and optimally functional. An overview of the role:
- Deliver exceptional on-site administration services across all major office locations, ensuring seamless daily operations, a welcoming environment for employees and visitors, and well-maintained meeting rooms and event spaces
- Manage end-to-end mailroom operations with precision, including mail receipt, identification, processing, and timely distribution, while driving digital transformation through scanning and secure document management in compliance with record management regulations
- Build and maintain strong relationships with stakeholders at all levels, actively responding to feedback and coordinating courier services, legal document handling, and tracking of items in transit
- Conduct regular site inspections and work closely with the facilities management team to report repairs, manage contractors, perform basic troubleshooting, and manage work orders through systems like Corrigo
- Support the Operations Excellence Manager with SOP updates, process improvements, report generation, parking inquiries, and flexible backfill support across various functions to maintain service continuity
Sounds like you? This is what we are looking for:
- Proven experience in a corporate or professional office environment with strong customer service focus, well-developed interpersonal skills, and the ability to manage relationships with key stakeholders while effectively managing expectations
- Excellent time management and project coordination skills, with the ability to meet deadlines, coordinate others to achieve key milestones, and navigate ambiguity with strong problem-solving capabilities
- Strong PC literacy with intermediate to advanced proficiency in Microsoft Word, Excel, and PowerPoint, plus comfort navigating various systems including internet, email platforms, and work order management tools
- Exceptional communication skills including strong verbal and written abilities, active listening, and confident presentation capabilities, with a keen eye for detail and unwavering commitment to quality service delivery
- Physical capability to perform tasks that include lifting objects up to 15kg, such as moving boxes, equipment, or furniture, while adhering to safety protocols, with previous mailroom or mail function experience preferred
