Contracts Administrator – Contract Lifecycle Management & Legal Operations | Remote

About the Role
At Pavago, one of our clients is hiring a highly organized and detail-oriented Contracts Administrator to manage the complete contract lifecycle — from intake and drafting through internal approvals, execution, storage, renewals, compliance tracking, and reporting.
This is a process-driven role for someone who understands that effective contract lifecycle management (CLM) is essential to reducing legal, financial, compliance, and operational risk.
You’ll work cross-functionally with Legal, Procurement, Finance, Sales, Information Security, Compliance, and executive stakeholders to ensure agreements move efficiently while remaining accurate, properly approved, compliant, searchable, and audit-ready.

What You’ll Own
Contract Intake & Lifecycle Management
- Manage contract requests including:
- NDAs
- Master Service Agreements (MSAs)
- Statements of Work (SOWs)
- Data Processing Agreements (DPAs)
- Vendor agreements
- Amendments
- Renewals
- Review incoming requests for completeness before initiating contract workflows
- Confirm business terms, pricing, counterparties, jurisdictions, and compliance requirements
- Route agreements through appropriate review and approval processes
- Track contract status from intake through execution
- Maintain execution timelines against established SLAs
- Proactively follow up on outstanding reviews and approvals
Contract Drafting, Review & Redlining
- Draft and format agreements using approved templates and clause libraries
- Redline contracts using Microsoft Word Track Changes
- Apply approved legal playbooks and fallback language
- Identify and escalate non-standard provisions involving:
- Indemnification
- Limitation of liability
- Intellectual property
- Data privacy and security
- Termination rights
- Service-level agreements (SLAs)
- Maintain clear records of contract deviations, approvals, and rationale
- Ensure document versions remain accurate throughout negotiations
Approvals & Contract Governance
- Coordinate contract reviews across:
- Legal
- Finance
- Procurement
- Information Security
- Privacy
- Leadership
- Verify pricing, budget approvals, vendor documentation, and compliance requirements
- Ensure agreements follow established approval matrices and governance policies
- Track outstanding approvals and follow up with stakeholders to prevent unnecessary delays
- Maintain appropriate documentation of approvals and exceptions
Execution & Contract Repository Management
- Manage electronic signature workflows using platforms such as DocuSign or Adobe Sign
- Confirm signer authority and signature requirements
- Ensure fully executed agreements are properly stored
- Maintain accurate records within CLM and contract management platforms such as:
- Ironclad
- Icertis
- Agiloft
- ContractWorks
- Conga
- SharePoint
- Maintain contract metadata including:
- Contract value
- Effective and expiration dates
- Renewal dates
- Notice periods
- Jurisdiction
- Data-processing requirements
- Ensure contracts remain searchable and accessible to authorized stakeholders
Renewals, Obligations & Compliance
- Track:
- Contract expiration dates
- Renewal deadlines
- Auto-renewal provisions
- Notice periods
- Pricing escalators
- Contractual obligations
- Maintain proactive reminders to prevent missed deadlines
- Support compliance requirements involving:
- GDPR
- CCPA
- HIPAA
- PCI-DSS
- Internal controls
- Maintain complete approval, execution, and signature trails
- Ensure contract records remain audit-ready
Reporting & Process Improvement
- Track and report on:
- Contract cycle times
- SLA adherence
- Renewal pipelines
- Clause deviations
- Standard-term usage
- Improve contract templates, clause libraries, workflows, and documentation
- Identify opportunities to automate repetitive contract administration processes
- Help develop scalable and self-service contracting workflows
- Identify bottlenecks and recommend improvements to contract operations
Requirements
- 2+ years of experience in contracts administration, contract lifecycle management, legal operations, procurement operations, or a related function
- Hands-on experience managing contracts throughout their lifecycle
- Experience with CLM systems, contract repositories, and e-signature workflows
- Strong proficiency with:
- Microsoft Word Track Changes
- Microsoft Excel or Google Sheets
- PDF editing tools
- Working understanding of common contractual provisions, including:
- Indemnification
- Limitation of liability
- Confidentiality
- Intellectual property
- Data Processing Agreements (DPAs)
- Service-Level Agreements (SLAs)
- Strong organizational and documentation skills
- Excellent attention to detail
- Strong written and verbal English communication
- Ability to coordinate multiple contracts and stakeholders simultaneously

What a Typical Day Looks Like
Your day may begin by reviewing new contract requests and checking agreements awaiting internal approval or signature.
Throughout the day, you could draft or redline agreements, coordinate approvals with Legal or Finance, manage DocuSign workflows, update CLM records, monitor upcoming renewals, verify contractual obligations, and prepare contract reporting.
You’ll also work with stakeholders to resolve bottlenecks and continuously improve contracting processes, templates, and documentation.
In short: you ensure contracts move efficiently while remaining accurate, compliant, properly approved, searchable, and proactively managed throughout their lifecycle.
