Our client is an established and rapidly growing Australian civil construction firm specializing in major earthworks, infrastructure, and site development projects. We are seeking a detail-oriented Contract Administrator to play a vital commercial role in safeguarding project profitability, maintaining strict contractual compliance, and managing head contract and procurement workflows. Reporting closely to Project Managers and Commercial Leads, you will ensure seamless administration of subcontracts, progress claims, and project variations across active civil worksites.

Requirements

• Subcontract Management: Prepare, review, issue, and manage trade subcontracts and purchase orders in line with project scope and budget allocations.
• Progress Claims & Payment Certificates: Assess, process, and reconcile monthly progress claims from subcontractors while preparing head contract claims under applicable Australian Security of Payment Acts.
• Variation & Claim Administration: Monitor, log, and evaluate variation requests, extensions of time (EOTs), and commercial notices, ensuring full compliance with head contract terms.
• Financial Reporting & Cost Control: Track project budgets, update monthly cost forecasts, maintain variation registers, and assist with financial reporting and cash flow management.
• Compliance & Quality Assurance: Verify subcontractor insurances, licenses, site compliance documentation, and safety standards prior to site mobilization and payment approvals.
• Stakeholder Coordination: Serve as a core commercial liaison between site project teams, estimators, subcontractors, and suppliers to minimize financial friction and resolve potential disputes early.

QUALIFICATIONS:

• Experience: Minimum 3–5+ years of direct experience as a Contracts Administrator in the construction industry, with preference for civil, infrastructure, or earthworks projects.
• Education: Tertiary qualification in Quantity Surveying, Construction Management, Business, Civil Engineering, or a related field.
• Contract Knowledge: Strong understanding of standard Australian construction contracts (e.g., AS 4000, AS 2124, GC21) and relevant state-level Security of Payment regulations.]
• Software Proficiency: Hands-on experience with construction cost management software (e.g., Jobpac, Cheops, Procore, SAP, JDE) and advanced MS Excel capabilities.

DESIRED (NOT REQUIRED):

• Exposure to remote operational setups supporting Australian civil construction projects.
• Dual capability or exposure to estimating / quantity surveying support tasks.
• High-level negotiation and dispute-resolution skills.
• High analytical acumen with exceptional written and verbal communication abilities.
