Summary of the Role
The Business Coordinator provides operational and coordination support across the Commercial organization to enable the effective, timely, and compliant execution of commercial programs and initiatives. The position is responsible for coordinating program submissions and approvals, maintaining program tracking and documentation, supporting congresses and customer-facing activities, coordinating commercial materials and branding, and facilitating cross-functional collaboration across Marketing, Clinical, Sales, Finance, Compliance, Regulatory Affairs, and other relevant functions.
Key Responsibilities
1. Business Program Coordination & Administration
- Coordinate the preparation and submission of required documentation for commercial programs, HCP activities, congresses, workshops, educational programs, and other business initiatives.
- Ensure required documentation is complete, accurate, and submitted within established timelines.
- Coordinate with relevant stakeholders to facilitate program review and approval.
- Track submission and approval status and proactively follow up on outstanding actions.
- Maintain appropriate program documentation and records in accordance with company requirements.
- Support program closure and ensure required post-program documentation is completed.
2. Business Program Tracking & Governance
- Establish and maintain a centralized tracker for commercial programs and activities.
- Track program timelines, status, approvals, budgets, deliverables, and completion.
- Provide regular visibility of the commercial program portfolio to relevant stakeholders and leadership.
- Identify delays, gaps, or risks in program execution and proactively follow up or escalate as appropriate.
- Support standardization of program processes, templates, checklists, and documentation.
- Ensure appropriate documentation is available for internal review and audit purposes.
3. Commercial Event & Activity Support
- Provide coordination and operational support for congresses, conferences, workshops, HCP education programs, customer meetings, training activities, and other commercial events.
- Coordinate event materials, signage, branding, documentation, logistics, and other execution requirements.
- Coordinate with external vendors, agencies, event organizers, and service providers.
- Support timely delivery of materials and services required for commercial activities.
- Assist with post-event documentation, reconciliation, and activity closure.
4. Commercial Branding & Asset Management
- Support consistent application of Terumo brand guidelines across commercial programs, events, presentations, promotional materials, and communications.
- Coordinate the development, review, approval, production, and distribution of commercial materials.
- Maintain an organized library of approved commercial and brand assets.
- Ensure appropriate use of approved templates, logos, visual identity, and other brand elements.
- Coordinate with internal stakeholders and external agencies/vendors to ensure consistent brand execution.
5. Cross-Functional Business Support
- Serve as a coordination point between Marketing, Sales, Sales Operations, Finance, Compliance, Regulatory Affairs, and other relevant functions.
- Facilitate communication and follow-up on cross-functional commercial activities.
- Support consolidation of commercial activity information for management reporting.
- Assist with preparation of commercial presentations, reports, dashboards, and management updates.
- Support implementation of strategic commercial initiatives requiring cross-functional coordination.
6. Process Improvement & Commercial Operations
- Identify opportunities to simplify and improve commercial program processes and workflows.
- Develop and maintain standardized operating tools, trackers, templates, and checklists.
- Improve visibility, accuracy, and accessibility of commercial program information.
- Support digitalization and centralization of commercial program documentation and tracking where appropriate.
- Contribute to continuous improvement initiatives that enhance commercial execution efficiency.
7. Other Responsibilities

Functional / Technical Skills
- Native Vietnamese speaker with fluency in English and good communication skills in writing and speaking.
- Sales enablement and business analytics
- Possess excellent communication and presentation skills.
- Able to work independently with self-discipline and a good team player as well.
- Team player with “can-do “attitude, ability to perform well under pressure.
- High attention to detail and strong documentation discipline.
- High level of integrity and attention to detail. Strong documentation discipline and commitment to compliance.
- Strong organizational and coordination skills with demonstrated ability to manage multiple activities simultaneously.
- Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
Education & Experience
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related discipline.
- 3–5 years of experience in commercial operations, program coordination, marketing operations, event management, sales administration, or a similar role.
- Experience in healthcare, medical devices, pharmaceuticals, or another regulated industry is preferred.
- Preference for candidates who are proactive, meticulous, and detail-oriented.
