What this opportunity involves:

As a Property Management Coordinator at JLL, you'll play a vital support role in delivering quality property management services across diverse client portfolios. Working alongside head office-based Property Managers, you'll ensure the smooth operation of financial, administrative, and tenancy processes that keep properties running efficiently. This position offers hands-on exposure to all facets of property management—from budgets and outgoings recoveries to lease administration and stakeholder liaison. Key Responsibilities include:

• Assist with the preparation of budgets, outgoings recoveries, forecasts, and performance graphs to support portfolio financial planning
• Support the preparation and delivery of monthly reports for Property Managers and clients
• Issue purchase orders and set up contracts within JLL systems, ensuring accurate record-keeping and compliance
• Monitor rental arrears on a daily basis, actively pursue collections, and allocate rental payments promptly
• Assist in the rent review process and generate sundry charges as required
• Process accounts payable invoices in a timely manner, ensuring correct coding and resolving any contractor queries
• Assist with the production of tenant tax invoices and complete reconciliations across the portfolio
• Liaise with contractors, tenants, and property owners to facilitate smooth communication and service delivery
• Undertake lease administration tasks, including completion of tenancy setup forms and collection of sales figures for input into JLL systems

• Proven experience in accounts payable and receivable functions, with previous property management experience highly desirable
• Strong organizational skills with the ability to manage time effectively and prioritize competing demands
• High attention to detail with a commitment to quality and accuracy in all deliverables
• Excellent communication skills, both written and verbal, with a client-focused approach that leads by example
• Proficiency in Microsoft Office applications, with strong Excel skills preferred
• Ability to work collaboratively as part of a team and build positive working relationships across internal and external stakeholders
• Capacity to remain calm and effective in high-pressure situations with conflicting priorities
• Eagerness to learn and grow within a dynamic property management environment
• Familiarity with property management systems, lease administration processes, and contractor management frameworks is advantageous
