The Office of Academic Services (OAS) plays a vital role in enabling student success across the entire academic journey by implementing and administering academic policies established by the University's academic bodies. OAS delivers comprehensive academic services from matriculation to graduation, empowering students, upholding excellence, and partnering stakeholders to provide a seamless, student-centred experience while maintaining the highest standards of integrity, governance, and professionalism.
Within OAS, the Examinations team is responsible for the planning, administration, and continuous enhancement of the University's assessment ecosystem. The team ensures that assessments are conducted securely, fairly, and efficiently while safeguarding academic standards and upholding the principles of academic integrity. As the University expands its digital assessment capabilities, the team also plays a key role in supporting digital transformation initiatives and driving the adoption of technology-enabled assessment practices.
Key Responsibilities:
Assessment Operations: Plan and administer centralised and decentralised assessments in compliance with University assessment regulations, policies, and procedures. This includes the delivery of large-scale face-to-face centralised assessments, assessment scheduling, venue allocation, seating arrangements, logistics coordination, invigilator deployment, assessment material management, and the administration of assessment-related student cases such as medical certificate submissions and special consideration requests.
Digital Assessment Operations & Adoption: Oversee the operations, readiness, and utilisation of the University's digital assessment halls, ensuring seamless assessment delivery, efficient turnaround between bookings, and consistently high facility utilisation. Partner with Schools and faculty members to support the implementation and adoption of digital assessment practices by providing operational guidance, assessment planning support, and expertise on assessment technologies and processes.
Assessment Partnerships, Engagement & Communications: Build trusted partnerships with stakeholders to support OAS' strategic and operational objectives. Design and deliver engagement, communications, and outreach initiatives that strengthen stakeholder understanding, readiness, and confidence in OAS’ services. Gather insights and feedback to enhance experiences, improve service delivery, and support the successful adoption of OAS initiatives.
Governance, Experience Design & Continuous Improvement: Support academic integrity initiatives and drive process improvements, automation, and digital transformation efforts to improve operational efficiency, governance, and service quality. Apply user-centred and service design principles to enhance the assessment experience for students, faculty members, and operational partners. Gather stakeholder feedback, identify pain points and opportunities, and translate insights into practical improvements that strengthen engagement, service delivery, and effectiveness.
Resource Management & Projects: Manage procurement and vendor coordination activities and analyse operational data and performance indicators to support informed decision-making. Participate in and support cross-functional projects and institutional initiatives related to digital transformation, stakeholder engagement, and service excellence initiatives that advance OAS' strategic and operational objectives.
Requirements:
Bachelor's degree in Business Administration, Information Systems, Data Analytics, Education, Communications or a related discipline.
At least 3 years of relevant experience, preferably in academic services within a higher education institution.
Experience in assessment administration and operations, digital assessments, event management, communications, customer experience, service design or large-scale operational environments.
Experience supporting high-stakes, mission-critical operations involving multiple stakeholders, competing priorities, and tight timelines will be highly advantageous.
Strong stakeholder engagement and relationship management skills, with the ability to build trusted partnerships across diverse stakeholder groups.
Strong written and verbal communication skills, with the ability to develop and deliver both strategic and tactical communications.
Ability to translate complex operational and technical information into clear, audience-appropriate communications and actionable guidance.
Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, and data management tools.
Collaborative and stakeholder-focused, with a passion for building relationships and delivering positive stakeholder experiences.
