Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a reliable and organized Administrator to provide day-to-day administrative support for a growing regional Registered Training Organisation (RTO) delivering truck licensing and industry training across Western Australia and Queensland. This is a long-term opportunity for someone who enjoys keeping things organized, communicating with trainers and clients, and ensuring administrative processes run smoothly. The role will take over from an experienced administrator who is retiring, with a structured handover planned to ensure a smooth transition.
The Administrator will manage emails and calendars, coordinate trainer bookings and accommodation, process and file student assessment documentation, and upload records into the relevant RTO portals. You will also work with PowerPro, the organisation's student management system, with full training provided, while experience with other SMS platforms will be highly regarded. Strong Microsoft Office and Excel skills are important, along with clear and professional communication, as the role will involve occasional phone contact with trainers and clients. There is also an opportunity to support simple social media activity, such as preparing Facebook posts and uploading photos.
Key Responsibilities:
Administration & Communication
- Manage the shared inbox, responding to and appropriately actioning emails from students, clients, trainers and other stakeholders.
- Respond to general training enquiries and provide accurate information about courses, bookings and availability.
- Manage calendars, schedules and training bookings to ensure information is accurate and up to date.
- Communicate with the business owner regularly to provide updates, clarify priorities and address client requirements.
- Handle approximately 20-30 phone calls per day as required, including calls from the business owner and occasional client communication.
- Maintain a professional, helpful and service-focused approach across all communications.
Trainer & Training Coordination
- Coordinate trainer schedules and bookings based on upcoming training requirements.
- Arrange trainer facilities, accommodation and other logistical requirements.
- Keep training calendars and booking systems updated and ensure changes are communicated promptly.
- Monitor upcoming training commitments and proactively identify any scheduling or administrative issues.
Student & Assessment Administration
- Process student assessment documentation as it is received from trainers.
- Check assessment documents for completeness, accuracy and consistency before filing or uploading.
- Maintain organised and accurate student records within the student management system.
- Upload required student documentation and records to relevant RTO portals.
- Ensure documents are correctly named, filed and stored for easy retrieval.
- Follow established administrative and compliance processes and flag any missing or incorrect information.
General Administration
- Maintain accurate records, spreadsheets and administrative files using Microsoft Office 365 and Excel.
- Support the smooth operation of the student management system and booking processes.
- Assist with general administrative tasks as required by the business.
- Identify opportunities to improve administrative processes, organisation and efficiency.
- Provide light support with social media activity, including simple Facebook posts and uploading business or training photos.
Requirements
Required Skills and Qualifications:
- Previous experience in an administration, coordination, office support or similar role.
- Strong attention to detail and a methodical approach to handling documentation.
- Excellent organisational and time-management skills.
- Strong written and verbal English communication skills.
- Confident handling emails, calendars, bookings and multiple priorities.
- Good working knowledge of Microsoft Office 365, particularly Excel.
- Comfortable learning and working with new software and online systems.
- Experience using a student management system (SMS) is advantageous, but RTO experience is not essential as training will be provided.
- Comfortable communicating by phone with clients and internal stakeholders.
- Able to work independently, take direction and follow tasks through to completion.
- Reliable, proactive and comfortable working in a role where accuracy and follow-through are important.

This is a remote role that will be set up as an independent contractor engagement.
