Arrowstreet Capital is seeking an enthusiastic team player to join the  Administration and Facilities Team. The team is Arrowstreet’s first point of contact, providing a polished, professional, and courteous reception experience. Our collaborative team keeps administrative operations and the workspace running effectively and efficiently. The Administration and Facilities Associate coordinates, manages, and completes day-to-day reception and facilities tasks.

Responsibilities

• Greet visitors and answer main telephone line
• Monitor daily lunch delivery and assist with setup
• Manage workspace requests such as: Facilities repair & HVAC management
• Order and stock office and kitchen supplies
• Setup and breakdown various meeting space configurations
• Assist Administration and Facilities Manager with building security and the coordination of emergency safety drills
• Maintain shared team Outlook calendar and monitor room calendars as needed
• Maintain team data sets in Jira and Confluence
• Collaborate with Administration and Facilities Manager on a day-to-day basis and ad hoc projects as needed

Qualifications

• 2 - 3 years professional experience in an Administrative/Facilities role
• Bachelor’s degree preferred
• Hands-on direct experience working in a fast-paced, dynamic environment: including familiarity with answering/directing phone calls, greeting guests, managing catering process, managing Outlook calendars and conference room schedules
• Proficiency in Microsoft Office, including Excel, Outlook and Word, and in Copilot
• A self-starter with excellent organizational, time and relationship management skills
• Excellent verbal and written communication skills
• Extremely detail-oriented and inquisitive
• Ability to adapt quickly to changing needs and adjust task priorities accordingly
• Collaborative and thrives in a team-oriented work environment
• Ability to take ownership of potential issues, follow through on management-directed tasks, and communicate with managers and the team in a timely manner
• Flexible in providing occasional support for before- or after-hours vendors

The base salary range for this position is $50,000 - $85,000 per year.

The determination of a successful candidate’s base salary placement within the listed range will vary based on the candidate’s relevant experience and qualifications (which may also include relevant certifications, credentials and other education), the job responsibilities and scope, the commensurate resulting level of the position and other relevant factors.
