About the Job:
Owens Companies is seeking an organized, dependable, and detail-oriented Accounting and Office Coordinator. This position supports the company’s daily accounting activities while helping keep the office organized and running efficiently. The ideal candidate enjoys working with numbers, managing multiple priorities, improving processes, and supporting employees, customers, and vendors. This role requires accuracy, professionalism, strong follow-through, and the ability to handle confidential information appropriately.
Core Duties and Responsibilities:
- Accounts Payable:
- Review all invoices for appropriate documentation and approval prior to entry into the system.
- Process & enter PO invoices while ensuring all additional information is inputted correctly.
- Facilitate vendor payments, including check processing, ACH and portal payments.
- Enter, reconcile, and process credit card bills, receipts & payments.
- Reconcile vendor statements to ensure accuracy.
- Process annual1099 forms for vendors.
- General Accounting:
- Process daily check deposit and reconcile incoming banking transactions.
- Support Staff Accountant as needed.
- Facilitate monthly recurring HVAC maintenance contract invoices.
- Ensure compliance with company procedures.
- Administrative Support:
- Answer and direct incoming telephone calls and assist customers, vendors, and visitors professionally.
- Manage incoming and outgoing mail, deliveries, and general correspondence.
- Order and maintain office and breakroom supplies.
- Maintain organized electronic and physical files in accordance with company procedures.
- Provide administrative support to leadership and other departments as needed.
- Help maintain an organized, professional, and welcoming office environment.
- Identify opportunities to improve administrative and accounting processes.
Preferred Qualifications:
- 2+ years of accounts payable, accounting support, or bookkeeping experience preferred. Previous experience in accounts payable or related roles.
- Knowledge and experience working in the HVAC industry a plus!
- Experience with Sage Intacct, Sage 100 Contractor, Viewpoint, Foundation, BuildOps, or similar accounting/ERP systems preferred.
- Strong verbal and written communication skills with the ability to interact professionally with vendors, customers, and internal team members.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
