  • Welcome and assist visitors, guests, and external partners; coordinate office logistics for internal meetings, team gatherings, and company initiatives.
  • Own and maintain the daily studio calendar, coordinating meetings, shoots, events, and internal activities across teams.
  • Serve as the central coordinator for studio space usage and scheduling requests, proactively resolving conflicts with stakeholders.
  • Support leadership and department heads with meeting coordination and logistical planning across the daily office itinerary.
  • Coordinate monthly in-office HYPE meetings, including scheduling, room setup, presentations, and attendee logistics.
  • Partner with leadership and HR on onboarding logistics for new hires (workspace setup, welcome coordination, first-day preparations) and other special projects that support a positive workplace experience.
  • Requirements:

  • 1 to 3 years of experience in office management, workplace operations, studio coordination, or a similar administrative role, ideally within a media, creative agency, or lifestyle brand environment.
  • Bachelor's degree in human resources, administration or other related fields is preferred.
  • Strong organisational and multitasking abilities, with the ability to juggle competing priorities in a fast-paced studio environment.
  • Excellent written and verbal communication skills, with a warm, professional demeanour when engaging with employees, visitors, and vendors.
  • Comfort using standard workplace tools such as Google Workspace, Slack, and calendar management platforms, and other tools specific to the teams and region.
  • Proactive, solutions-oriented mindset with a demonstrated ability to anticipate needs before they arise.
  • Sound judgement and discretion when handling sensitive information, visitor logistics, and leadership schedules.
  • Attention to detail across scheduling, invoicing, and vendor coordination.
