Responsibilities:
Act as the primary point of contact for all office and workplace-related needs, managing the day-to-day operations of the NYC studio to keep it productive, organised, and welcoming.
Maintain office supplies, pantry inventory, and workplace amenities; oversee meeting spaces, common areas, and employee workspaces.
Coordinate relationships with vendors, service providers, building management, and maintenance teams.
Manage office-related invoices, ensuring timely submission and tracking for payment.
Welcome and assist visitors, guests, and external partners; coordinate office logistics for internal meetings, team gatherings, and company initiatives.
Own and maintain the daily studio calendar, coordinating meetings, shoots, events, and internal activities across teams.
Serve as the central coordinator for studio space usage and scheduling requests, proactively resolving conflicts with stakeholders.
Support leadership and department heads with meeting coordination and logistical planning across the daily office itinerary.
Coordinate monthly in-office HYPE meetings, including scheduling, room setup, presentations, and attendee logistics.
Partner with leadership and HR on onboarding logistics for new hires (workspace setup, welcome coordination, first-day preparations) and other special projects that support a positive workplace experience.
Requirements:
1 to 3 years of experience in office management, workplace operations, studio coordination, or a similar administrative role, ideally within a media, creative agency, or lifestyle brand environment.
Bachelor's degree in human resources, administration or other related fields is preferred.
Strong organisational and multitasking abilities, with the ability to juggle competing priorities in a fast-paced studio environment.
Excellent written and verbal communication skills, with a warm, professional demeanour when engaging with employees, visitors, and vendors.
Comfort using standard workplace tools such as Google Workspace, Slack, and calendar management platforms, and other tools specific to the teams and region.
Proactive, solutions-oriented mindset with a demonstrated ability to anticipate needs before they arise.
Sound judgement and discretion when handling sensitive information, visitor logistics, and leadership schedules.
Attention to detail across scheduling, invoicing, and vendor coordination.
Passion for contemporary culture, streetwear, or the creative industries; previous experience supporting content production, photo/video shoots, or studio operations is a plus.
