We are seeking an exceptionally articulate Virtual Medical Receptionist / RN Care Coordinator to manage the front-end of our busy musculoskeletal practice, specifically looking to upgrade our team with a Registered Nurse (RN) who possesses proven medical VA experience. Because you will serve as the primary clinical voice for an older adult patient population, you must have flawless English pronunciation, little to no noticeable accent, and the advanced medical literacy required to build immediate trust. This high-engagement role moves far beyond passive data entry, leveraging your unique background to navigate complex specialty workflows and provide compassionate, elite patient care coordination remotely.
Core Responsibilities
Patient Communication & Calendar Management
- Elite Phone Management: Command high-volume inbound and outbound phone lines with an exceptionally professional, warm, and clear presence, delivering an empathetic and comforting experience to elderly patients navigating chronic pain.
- Strategic Appointment Scheduling: Masterfully manage provider calendars to maximize schedule efficiency, balancing new patient consultations, routine follow-ups, and urgent adjustments.
- Digital Care Coordination: Seamlessly manage digital patient touchpoints using Spruce, while maintaining instant internal collaboration with the clinical team via Google Chat and Google Workspace.
- Administrative Excellence: Execute day-to-day front office workflows, maintain meticulous communication logs, and update medical documentation within the eClinicalWorks (eCW) ecosystem.
Specialty Support & Clinical Rapport
- Musculoskeletal Service Literacy: Leverage your nursing background to confidently discuss office procedures, appointment preparation, and clinical services with an older patient demographic, using flawless articulation.
- Specialty Case Coordination: Support advanced workflows for Workers' Compensation (Work Comp) and Personal Injury Protection (PIP) cases, communicating confidently with patients, attorneys, and case managers when needed.
- Trust & Patient Retention: Utilize a customer service or sales-driven mindset to build immediate rapport, address patient anxieties, and ensure every caller feels heard, respected, and expertly guided.
Requirements
Clinical & Domain Expertise: Must be a Registered Nurse (RN) with at least 3 years of clinical field experience, paired with a minimum of 2 years of experience as a Virtual Assistant or Medical Receptionist supporting a U.S.-based practice.
Specialty Familiarity: Direct experience working in or supporting Pain Management, Orthopedics, Spine, Chiropractic, Physical Medicine, or related musculoskeletal specialties.
Phonetic & Verbal Excellence: Flawless spoken English (C1 Proficiency minimum) with little to no noticeable accent. Must possess outstanding pronunciation and clear enunciation specifically tailored to communicate effortlessly with an older patient population.
Logistics & Profile: Full-Time availability (40 hours per week). Ability to work independently from a completely quiet, distraction-free virtual home office.
Highly Preferred
Software Literacy: Strong hands-on experience with eClinicalWorks (eCW) is highly preferred. Familiarity with Spruce and Google Workspace is a strong plus.
Specialty Workflow Knowledge: Practical understanding of Workers' Comp and PIP insurance processes, documentation, and external party communication is highly desirable.
