Requirements
Key Accountabilities / Key Result Areas-
A) Event Planning & Project Management
Responsibility: Lead end-to-end planning and execution of corporate events and experiential projects.
Key Deliverables:
• Manage the complete event lifecycle from project briefing to post-event closure.
• Develop detailed project plans, execution timelines, and event schedules.
• Create event operation checklists and implementation/run-of-show plans.
• Ensure all project deliverables are completed within agreed timelines and quality standards.
• Conduct project review meetings and track progress against milestones.
• Manage multiple projects simultaneously across geographies.
• Ensure seamless coordination among all internal and external stakeholders.
B) Event Operations & On-Ground Execution
Responsibility: Ensure flawless execution of all events and activations.
Key Deliverables:
• Lead on-ground event execution and event control.
• Oversee venue setup, branding, registration, hospitality, logistics, and technical arrangements.
• Ensure compliance with the approved event flow and execution plan.
• Manage contingency planning and real-time issue resolution during events.
• Coordinate manpower deployment and on-ground supervision.
• Ensure superior guest experience and operational excellence at every touchpoint.
• Monitor quality standards throughout the execution lifecycle.
C) Vendor & Production Management
Responsibility: Manage vendor relationships and production requirements.
Key Deliverables:
• Source, evaluate, and negotiate with vendors and production partners.
• Manage fabrication, AV, printing, manpower agencies, and logistics vendors.
• Obtain competitive quotations and optimize costs without compromising quality.
• Monitor vendor performance and ensure adherence to quality standards.
• Ensure timely delivery of all production requirements.
• Manage vendor contracts, commercial negotiations, and SLAs.
D) Budgeting & Commercial Management
Responsibility: Manage project budgets and profitability.
Key Deliverables:
• Prepare project cost estimates and detailed budgets.
• Monitor project expenses against approved budgets.
• Ensure profitability and margin targets are achieved on every project.
• Negotiate cost-effective solutions with vendors and partners.
• Track project margins and overall financial performance.
• Coordinate billing, vendor payments, and project reconciliations.
• Support the finance team with collections and project closures.
E) Client Coordination & Stakeholder Management
Responsibility: Ensure effective communication and relationship management with clients.
Key Deliverables:
• Participate in client meetings and project discussions.
• Understand client requirements and translate them into actionable execution plans.
• Provide regular project status updates to clients and leadership.
• Manage client expectations and change requests professionally.
• Resolve operational challenges and escalations promptly.
• Ensure consistently high client satisfaction throughout the project lifecycle.
F) Team Leadership & Resource Management
Responsibility: Lead and develop the event operations team.
Key Deliverables:
• Allocate project responsibilities and resources effectively.
• Guide, coach, and mentor team members.
• Conduct project reviews and performance discussions.
• Build a culture of accountability, ownership, and excellence.
• Support capability-building and team development initiatives.
• Ensure effective collaboration across departments.
G) Risk Management & Quality Assurance
Responsibility: Ensure risk mitigation and service excellence.
Key Deliverables:
• Identify potential project risks and develop mitigation plans.
• Develop contingency plans for critical and high-visibility projects.
• Conduct quality checks before and during events.
• Ensure compliance with company SOPs and event standards.
• Conduct post-event evaluations and lessons-learned reviews.
• Drive continuous improvement initiatives across processes.
