Position Summary:

We are seeking a dedicated and organized day of event assistant to join our special events team at TQL Stadium. As a key part of our team, you will play an essential role in executing seamless and memorable private events, including corporate meetings, fundraisers, galas, and internal FC Cincinnati events. This is an exciting opportunity for someone who thrives in a fast-paced environment and enjoys collaborating with multiple departments to ensure the success of each event.

What You’ll Do:

  • Execute and Manage External and Internal Events: Oversee and assist in the coordination of special events, including corporate meetings, fundraisers, galas, and internal FCC events.
    • Client Walkthroughs: Conduct final walkthroughs with clients of the event space prior to their event to ensure all needs are met.
    • Pre-Event Coordination: Assist clients with event setup and preparations in advance of the event day, including coordination with third-party vendors on delivery and setup details.
    • Vendor and Logistics Management: Work closely with third-party vendors to ensure timely delivery and proper setup of equipment and event materials.
    • Serve as the Day of Event Coordinator: Be the main point of contact for clients on event day, ensuring all event details are executed smoothly, they have everything they need, and that their expectations are met.
    • Ensure Event Area Readiness: Ensure all event areas, including catering spaces, meeting rooms, and any other involved areas, are clean, properly set up, and ready for the event.
    • Report Feedback: Gather and report client feedback after the event to the private events department to continuously improve future events.
  • Collaboration with Stadium and Event Operations Teams: Communicate effectively with various teams (Stadium & Event Operations, Sales, Guest Experience, Security, Grounds Crew, Audio Visual, and Housekeeping) to meet client expectations and deliver successful events.
  • Interpret Event Documents: Read and interpret floor plans, Banquet Event Orders (BEOs), and menus to ensure all event arrangements align with client requirements and expectations.
  • Represent FC Cincinnati Professionally: Always present yourself and represent FC Cincinnati and its affiliates in a professional and positive manner.
  • Additional Tasks: Perform other related tasks and duties as assigned to support the overall success of private events at TQL Stadium.

  • Prior experience in event coordination or hospitality preferred.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Must be able to work evenings, weekends, and holidays as required.
  • Ability to lift and move event materials, supplies, and equipment as needed.
