About the Role 

We are seeking a highly organized, proactive, and experienced Senior Executive Assistant to provide comprehensive support to our executive leadership team.  This role requires exceptional discretion, attention to detail, and the ability to thrive in a fast-paced, high-impact environment. You will serve as a strategic partner, helping the executive leadership team operate efficiently and effectively by managing a wide range of administrative, operational, and strategic tasks. 

What You’ll Do: 

I.  Executive Support: 

  • Manage complex and dynamic calendars across time zones, including scheduling meetings, calls, and travel itineraries. 
  • Coordinate and prioritize daily activities and deliverables to ensure smooth operations. 
  • Prepare and organize documents, presentations, and briefing materials for meetings. 
  • Handle expense reporting and invoice processing in a timely manner. 

II.  Communications & Liaison: 

  • Serve as a primary point of contact between executives and internal/external stakeholders. 
  • Draft and manage correspondence, communications, and memos with professionalism and discretion. 
  • Facilitate and follow up on action items from meetings and ensure deadlines are met. 

III.  Project & Event Coordination: 

  • Support key initiatives and special projects, including research, timelines, and reporting. 
  • Maintain confidentiality of sensitive and proprietary information at all times. 

IV.  Operational Support: 

  • Assist with legal and financial administrative tasks, such as contract tracking, compliance documentation, and policy coordination. 
  • Partner with internal departments (HR, Legal, Finance, IT) to ensure executive needs are supported effectively. 
  • Identify opportunities to improve processes and increase efficiency within the executive office. 

Who You Are
Education 

  • Bachelor’s degree preferred; equivalent experience will be considered. 

Experience 

  • 8+ years of experience supporting C-suite executives, preferably in a fast-paced corporate or legal environment. 

Required Skills 

  • Proven ability to manage multiple priorities and adapt quickly to changing needs. 
  • Strong judgment, discretion, and professionalism when handling confidential information. 
  • Exceptional written and verbal communication skills. 
  • Advanced proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting tools (Zoom, Teams, etc.). 
  • Strong organizational skills with a high degree of attention to detail. 

 Where You'll Be 

**This role will be hybrid with travel onsite to Otto's temporary headquarters 3 days per week.  Company is due to relocate to their permanent location in Jacksonville, Florida in the next 3-6 months, or when new facility construction is complete.  At this time, this individual may be asked to either travel to the new site regularly or be assisted in relocating there.
