About this Retail Sales Administrator role at David Protein
The Company:
David creates tools to increase muscle and decrease fat. Our first product is a protein bar. More broadly, David is a platform to develop high-protein, low-calorie, blood sugar-friendly foods that are craveable.

Role and Responsibilities:
The Retail team at David Protein leads the commercialization of our product portfolio across physical retail. As we scale across Club, Mass, Grocery, Convenience, and Strategic channels – and as our portfolio expands across new formats – the operational volume behind every retail win grows fast: line review packets, promo and feature forms, item setups, portal updates, and partner onboarding.
Reporting into the Retail organization, the Retail Operations Coordinator owns that administrative backbone. This is the person who makes sure nothing falls through the cracks: every line review submitted on time, every promo and feature form filed correctly, every item accurate across every distributor and retailer portal, and every new retailer and distributor onboarded cleanly. The job is to take the administrative load off the Account Managers so they can stay focused on relationships, distribution, and revenue – and to build the systems and checklists that make this work fast, accurate, and repeatable as we scale. You will partner daily with Account Managers across every channel, as well as Supply Chain, Sales Planning, and Finance.
What You’ll Own:
- Line Review & New Item Submissions:
- Assemble and submit line review packets and new item setup forms across retailers and distributors, accurate and on deadline, every time.
- Own the submission calendar – track every retailer and distributor line review window and item cutoff, and drive the team to hit them.
- Translate Account Manager direction into complete, accurate, error-free forms; chase down the missing inputs before a deadline becomes a fire drill.
- Promotions, Features & Display Execution:
- Submit promotional, feature/ad, and temporary price reduction forms, and the paperwork behind secondary placements (endcaps, shippers, displays) through retailer and distributor portals.
- Coordinate timing against the promotional calendar so deals, features, and displays are filed correctly and land on the right dates.
- Maintain a clean record of what was submitted, approved, and executed so the team can tie activity back to performance.
- Product Information & Data Integrity:
- Keep item attributes, pricing, dimensions, images, ingredient, and nutritional data accurate and in sync across every distributor and retailer system.
- Own item data through change events – pack/configuration transitions, new SKU launches, discontinuations – so the catalog never goes stale or contradicts itself across portals.
- Manage syndicated product data and serve as the single source of truth for item information across the business.
- Retailer & Distributor Onboarding:
- Drive the full onboarding flow when David sets up with a new retailer or distributor – vendor paperwork, item authorizations, portal access, and the setup steps that connect us to their systems.
- Build and maintain onboarding checklists so each new partner setup is fast, complete, and consistent.
- Serve as the operational point of contact that gets David “live and clean” with a new partner with as little friction as possible.
- Compliance & Regulatory Records:
- Keep company and regulatory documentation current across all retailer and distributor portals – insurance certificates (COIs), W-9s, supplier agreements, certifications, and required label and regulatory information.
- Track renewals and expirations proactively so nothing lapses and no submission gets held up by a missing or outdated document.
- Systems & Standards:
- Build the trackers, templates, and standard operating procedures that make all of the above repeatable as the team and portfolio grow.
- Set the standard for accuracy and follow-through, and flag process gaps and bottlenecks before they cost us a window.
Requirements
- 2+ years of experience in retail/sales operations, item setup, or a category/sales coordinator function – ideally at a large CPG brand or at a brokerage servicing CPG accounts
- Hands-on familiarity with retailer and distributor portals and item-setup processes (e.g., Walmart Retail Link, Target Partners Online, Kroger and other retailer supplier portals, and distributor systems such as UNFI, KeHE, CoreMark, and McLane)
- Exceptional organization, accuracy, and attention to detail – you treat a misfiled form or a wrong attribute as unacceptable
- Strong ownership of deadlines and follow-through; you chase down inputs and close loops without being asked
- Comfort with high-volume, detail-intensive work and the discipline to keep it error-free under time pressure
- Clear, proactive communicator who can coordinate across Account Managers and cross-functional partners
- A bias for speed and a desire to build systems that scale
