In This Role
As a Recruiting & Onboarding Coordinator, you will serve as a key point of contact for candidates, interviewers, and new hires, helping deliver a seamless recruitment and onboarding experience at a fast-paced Silicon Valley office location. This highly visible role combines candidate-facing support, operational coordination, and administrative planning to ensure interview and onboarding processes run efficiently. You will act as a trusted partner across multiple stakeholders while creating a welcoming and professional experience for prospective and newly hired employees.
This position is ideal for someone who thrives in a dynamic environment, enjoys interacting with people, excels at managing multiple priorities, and is comfortable performing both administrative and hands-on operational tasks.
Responsibilities
- Coordinate and support onsite interview experiences for candidates.
- Serve as a host and primary point of contact for candidates during onsite visits.
- Facilitate new hire onboarding activities and ensure a smooth transition for incoming employees.
- Prepare and set up workspaces, desks, equipment, and onboarding materials for new hires.
- Conduct office and campus tours for candidates and new employees.
- Manage high-volume casework and onboarding requests while maintaining accuracy and attention to detail.
- Partner with recruiters, hiring teams, and business stakeholders to ensure recruiting and onboarding activities are executed successfully.
- Track onboarding and recruiting-related data using spreadsheets and internal systems.
- Communicate clearly and professionally with candidates, employees, and leadership.
- Coordinate logistics, scheduling, and operational support for recruiting and onboarding events.
- Maintain documentation, reporting, and administrative processes related to onboarding and recruitment activities.
- Support a fast-paced environment that requires balancing multiple priorities and deadlines.
- Assist with physical office setup activities, including moving and arranging furniture, equipment, and workspace materials as needed.
Required Qualifications
- 3–4+ years of professional experience in recruiting coordination, onboarding support, human resources operations, administrative operations, or a related field.
- Experience managing high-volume case management, requests, or operational workflows.
- Strong proficiency with Microsoft Excel, including tracking, reporting, and data management.
- Excellent written and verbal communication skills with the ability to communicate clearly and concisely.
- Experience coordinating multiple tasks, projects, and stakeholders simultaneously.
- Ability to work onsite 100% of the time.
- Ability to perform physical tasks, including regularly lifting and moving items weighing approximately 30–40 pounds.
- Ability to walk throughout office campuses and conduct candidate or employee tours.
- Strong organizational skills and attention to detail.
- Professional demeanor with the ability to represent the organization in highly visible candidate-facing situations.
- Ability to commit to the role for a minimum expected tenure of 12–18 months.
Preferred Qualifications
- Previous recruiting, recruiting coordination, or candidate experience support experience.
- Experience supporting employee onboarding programs.
- Experience working in a high-volume operations or service-oriented environment.
- Familiarity with Slack or similar collaboration tools.
- Experience supporting executive-level stakeholders or highly visible programs.
- Proven ability to thrive in a fast-paced, evolving environment.
- Strong customer service mindset and passion for creating exceptional candidate and employee experiences.
- Experience working cross-functionally with multiple teams and business groups.
Compensation Information
At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market.
For candidates based in Washington State, the anticipated salary range is $22 - $24.04/ hr. Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final salary and job title may vary depending on the selected candidate’s qualifications and could fall outside the stated range.
