We are currently seeking a Project Coordinator for our Rye Brook, NY office location in Westchester County, NY. This is an in-office role that works collaboratively with project teams to support the administrative and compliance duties related to commercial construction projects.
Responsibilities:
- Support administrative duties for each assigned project: process RFIs, change orders, submittals, subcontractor agreements, and purchase orders
- Complete project updates in Procore, distribute required documents to all project team members
- Assist Project Manager with insurance and permits as needed
- Send the Field Operations team all required project information
- Schedule calls and meetings with internal and external project team members to ensure consistent communication flow throughout the duration of a project
- Create and distribute weekly reports as requested by Project Managers
- Assist in preparation of closeout package process: collect documentation from subcontractors, vendors, architects, clients, and members of the internal project team
- Other job responsibilities as assigned by Project Managers
Qualifications and Experience:
- Minimum of 2+ years of general contracting or subcontractor experience in an administrative role
- Strong administrative skills with attention to detail
- Excellent MS Office skills: Excel, Word, PowerPoint, and Outlook skills required
- Able to multitask, prioritize, and manage their time well on tight deadlines
- Excellent written and verbal communication skills
- High level of professionalism
- Team-player with the ability to build cross-functional relationships
- Bachelor’s degree or equivalent professional experience required
