JOB SUMMARY
The Block Time Coordinator is a goal-oriented role responsible for optimizing scheduling throughput by managing the physician panel and block time calendar. Key responsibilities include analyzing referral volumes to determine block time needs, negotiating physician fees, and recruiting and onboarding medical providers to meet regional referral requirements. Additionally, the coordinator supports operations by securing examination facilities, maintaining physician profile data, and collaborating with Sales and Marketing to ensure scheduling targets and client turnaround requirements are consistently achieved.

MAJOR DUTIES & RESPONSIBILITIES
Block time management
- Evaluate incoming referral volume to identify requirements for block time
- Partner with Sales and Managing Directors to define block time necessities
- Understand Client fee schedules and TAT requirements in order to negotiate physician agreement terms
- Identify and onboard medical providers aligned with data findings and leadership input
- Handle fee negotiations as required
- Secure examination facilities when necessary
- Monitor and document travel-related clinician costs
- Oversee the administration of the block time calendar
- Provide coordination support to Operations to optimize total scheduling throughput
- Monitor CSR boards to ensure the scheduling teams are filling block time sessions
- Coordinate with marketing to distribute provider bios and scheduling collateral to the Sales team
- Notify Operations leadership regarding updated scheduling dates and site locations
Panel Maintenance when necessary
- For existing physicians, assist with maintaining:
- Physician profile instructions
- Updated exam locations
- Updated fees
- Manage Doctor Groups
- Deactivating/Reactivating physicians
- W9 remit-to changes
Physician recruiting when necessary
- Onboarding new physicians when necessary, including but not limited to:
- Responsible for the administrative tasks related to the maintenance of the physician panel and block time calendar
- Onboarding new physicians based on the client's needs
- Negotiating costs/contract terms according to pre-established guidelines
- Obtaining necessary paperwork, including agreement, application, CV, W9, and NPDB
- Working with the Operations to set the fees for agreements
- Providing dictation/Access DS instructions as necessary
- Recruit and manage doctors in regional strategic markets, specifically to support block-time IME exam services and to serve surrounding states within the region, ensuring the network meets the business's specific needs across various physician specialties.
- Foster long-term partnerships with panel doctors through face-to-face meetings and ongoing field presence.
- Procure exam locations as necessary and add to Dane Street’s database of available resources in target areas for blocked-time doctors.
Other duties & special projects, as assigned and based on business needs.
Requirements
EDUCATION/CREDENTIALS:
An Associate’s Degree or Bachelor’s Degree is preferred.
JOB RELEVANT EXPERIENCE:
Business experience in a healthcare and/or insurance setting is preferred.
WORKING CONDITIONS/PHYSICAL DEMANDS:
Any lifting, bending, traveling, etc. required to do the job duties listed above. Long periods of sitting and computer work.
WORK FROM HOME TECHNICAL REQUIREMENTS:
Supply and support their own internet services.
Maintaining an uninterrupted internet connection is a requirement of all work from home position.
