The Music Admission Coordinator informs, advises, and counsels prospective first-year and transfer students, secondary schools, community colleges, and other organizations about the music program at Elmhurst University. Further, the Coordinator converts prospects by recruiting students into the visit and audition process while counseling them throughout the enrollment cycle with superior customer service. The Coordinator seeks opportunities for expanded recruitment contacts and generates and participates in various events, working closely with the Office of Admissionto cultivate trust in Elmhurst University and the Music Department among high school and community college educators regionally and beyond. By refining and communicating the value proposition offered to students interested in studying music at Elmhurst University, the Coordinator enhances the Office of Admission’s strategic recruitment and contributes to overall enrollment goals.

Position Status: Non-Exempt

Salary Range: $22.00 - $23.75. This is the expected salary range for this position. The actual salary offered will depend on a candidate's experience and education, and departmental budget.

Responsibilities

  • Assists with the development of a strategic recruitment plan to increase the quantity and quality of applicants in each respective music degree program and ensemble, as well as potential markets for expansion.
  • Utilizes ILMEA all-state student lists for identifying prospective students on specific instruments or for specific programs, including composition, music education, jazz studies, and summer camps.
  • Maintains effective communication with internal campus partners and external constituencies, keeping them apprised of recruiting-related developments and soliciting feedback for improvement.
  • Builds and analyzes reports and creates summaries to share with supervisor and internal partners.
  • Recruits prospective students and manages their path from interest to matriculation.
  • Collaborates with the Office of Admission on revisions to music admission and recruitment materials and manages the inventory of promotional and other supplies for events.  
  • Researches, plans, promotes and implements major music recruitment events, such as open houses, visit days, auditions, festivals, summer camps, and more, collaborating with internal partners as appropriate.
  • Coordinates logistics for music events, activities, and programs, including but not limited to event set-up, catering, vendor management, etc.
  • Collaborates with all event stakeholders and synthesizes that information into a cohesive vision and plan for event logistics and aesthetics.
  • Utilizes CRM to coordinate music visits, events, and communication for students.
  • Attends clinics and conferences, and visits high school music programs to promote the Music Department.
  • Coordinates visit days for music faculty, including for online or in-person clinics at high schools, lessons, ensemble visits, campus tours, and more.
  • Oversees the planning and execution of in-person music clinics, tours, and Admission-related events coordinated by admission counselors and staff.
  • Hires, trains and supervises student employees for the Music Department.
  • Maintains a budget, ensuring fiscal responsibility and appropriate stewardship of departmental resources.
  • Responds to inquiries and handles correspondence with prospective students in a timely and effective manner.
  • Keeps up to date with best practices in admissions and current trends in music.

Requirements

Minimum Qualifications

  • Bachelor’s degree.
  • Strong verbal and written communication skills.
  • Prior experience in a music department, admission office, or comparable sales or marketing experience.
  • Demonstrated experience in event coordination and logistics management, including the ability to manage multiple responsibilities and projects, such as campus visit schedules, audition days, and itineraries simultaneously and skillfully.
  • Proficiency with standard administrative tools, including Microsoft Office, scheduling platforms, and communication management systems.

Work Hours
This is a part-time position scheduled to work 24 hours per week. Work is to be completed on campus with a set schedule, with flexibility for some remote work outside of office hours to allow for timely correspondence and attendance at approved events and activities.

Working Conditions/Physical Requirements

The essential functions of this position are primarily performed in an indoor setting with limited exposure to outdoor weather conditions. Work is often sedentary in nature and requires remaining in a stationary position for extended periods. Required abilities include speaking and hearing for in-person and virtual communication, using close and distance vision when reading documents or viewing screens, and performing tasks with repetitive fine motor skills. Work may require occasional lifting, bending, carrying, or otherwise moving objects weighing up to 15 pounds.
