About this In-House Paralegal & Contract Operations Administrator role at Asso.subsea
We are seeking a highly organized, proactive and detail-oriented In-House Paralegal / Legal Operations Administrator to join our growing legal and contract operations team. This role is ideal for an experienced legal professional with at least 3-5 years of relevant experience gained within a law firm, corporate legal department, or in-house environment.
Working closely with Legal Counsels and the Contract Management teams, you will play a key role in supporting the corporate governance, legal administration, contract operations, tender administration and legal records management activities of a dynamic international construction and offshore services group.

Main Responsibilities
Corporate Governance & Legal Administration
- Maintain the corporate records, statutory registers and legal files of all companies within the Group.
- Coordinate corporate housekeeping activities, including board resolutions, powers of attorney, annual filings and corporate documentation.
- Maintain and update corporate structure charts and legal entity records.
- Organize and manage corporate compliance calendars and key corporate deadlines.
- Assist with KYC, due diligence and compliance requests from banks, auditors, clients and business partners.
Banking & KYC Management
- Coordinate bank account opening, closure and maintenance procedures.
- Manage Know Your Customer (KYC), AML and corporate documentation submissions for financial institutions.
- Maintain accurate records of banking mandates, signatories and corporate authorizations.
- Liaise directly with banks and financial service providers regarding documentation requirements.
Contract & Tender Administration
- Support the Legal team during tendering activities.
- Prepare, organize and maintain contract files, correspondence and supporting documentation.
- Maintain registers of contracts, NDAs, framework agreements, subcontractor agreements and project documentation.
- Assist with contract execution, signature processes and document circulation.
Document Management & SharePoint Administration
- Organize and maintain legal repositories and document management systems, including SharePoint.
- Manage filing systems and ensure proper retention and archiving of legal and corporate records.
- Maintain company-wide legal templates and document libraries.
- Ensure all legal documents are properly indexed, controlled and readily accessible.
Internal Registry Management
- Maintain legal and corporate records within company systems.
- Ensure accurate and timely updates of vendor, customer and corporate information.
- Support internal reporting and document tracking processes.
- Maintain various legal, compliance and contractual registers
Legal Operations Support
- Draft routine legal correspondence and administrative legal documents.
- Coordinate internal and external communications with legal advisers, authorities, financial institutions and business partners.
- Monitor shared legal email inboxes and assist with legal workflow management.
- Support internal governance, compliance and audit activities.
- Provide administrative support to the Legal and Commercial teams as required.
Requirements
- Bachelor's degree in Business Administration, International Studies, Law, Legal Studies, Economics, Corporate Governance, Company Secretarial Services or a related discipline.
- A Master’s degree or relevant certification is a plus.
- 3–5 years of experience in a law firm, in-house legal department, corporate governance, company secretarial, contract administration or paralegal role.
- Experience in corporate governance, legal administration, company records management and compliance processes.
- Familiarity with KYC/AML requirements, banking documentation and corporate filings.
- Experience supporting contract administration, tendering activities and document control processes.
- Proficiency in Microsoft Office, SharePoint and SAP or similar ERP/document management systems.
- Excellent organizational, communication and stakeholder management skills.
- Strong attention to detail, professionalism, discretion and ability to manage multiple priorities.
- Previous experience in the construction, engineering, energy, offshore, marine or infrastructure sectors will be considered an advantage.
